This article explains how to create a new request type on Configuration > Requests > Request types, assign responsible employees to it and manage it. Users with the Add, Update and Delete Request Type List permissions do this.
A request type is the category employees choose when creating a request (e.g. "Equipment Request", "Business Card Request"). Every type has one or more Responsible Employees; they answer the requests whose approval process is complete.
Before you start
You need the Add Request Type List permission (Managing permissions).
The employees you will choose as responsible must be active in the system.
Step by step
In the left menu, go to Configuration, pick Requests in the list on the left and the Request types card at the top. The Settings button in the header of the Requests screen opens the same page.
Click Add Request Type.
Fill in the fields in the Add Request Type window that opens (when editing, the window is titled Request Type Update):
Request Type Title (required): The name employees see when creating a request. A second type with the same name cannot be created; upper or lower case (including the Turkish I/ı and İ/i), Turkish letters (ç/c, ş/s and the like) and leading or trailing spaces do not count as a difference, and inactive types are included. When editing, you cannot give a type another type's name either.
Branch, Department, Position, Employee: Choose the responsible employee. Branch, department and position only narrow the employee list; only the people you pick in Employee are saved as responsible. Choose the person who will answer requests of this type, not the employee who will create them. At least one employee is required.
Request Type Detail (required): Describe what the type is for.
Visibility Status: When on, the type is listed in employees' request form.
Click Save.
To add approval steps to the type, go to Configuration > Requests > Approval process, select the request type and define the approval levels. At each level you can pick a specific employee or the Manager option (the manager of the employee who opened the request). See Approval process for details.
Editing, deactivating and deleting a type
The tabs above the list (All, Active, Inactive) split the types by status and show how many each holds. The search box searches the type name and description; Sort or a click on a column header sorts the list. To act on a type, open the Actions menu at the end of the row:
Edit: Changes the title, responsible employees, detail and visibility. The list of responsible employees is replaced as soon as you save.
Deactivate / Activate: Inactive types are not listed in employees' request form; existing requests are not affected.
Delete: Permanently deletes the type. A type that has at least one request cannot be deleted.
Result
A saved type with Visibility Status on appears in the Request Type list of the Add Request window for every employee who can add requests. Requests of this type first go through the approval steps you defined; if there is no approval process, they go straight to the responsible employees, who receive an email and an in-app notification.
Common problems
Symptom: When I click Save or Update, "A request type with this name already exists" appears under the title field.
Cause: Another request type already has this title.
Solution: Enter a different title or edit the existing type in the list.
Symptom: I get "An inactive request type already uses this name".
Cause: The title belongs to a type shown as Inactive in the list.
Solution: Instead of creating a new type, use Activate from that type's Actions menu, or enter a different title.
Symptom: Deleting the type fails with an error message.
Cause: The type has requests.
Solution: Instead of deleting, use Deactivate to close the type to new requests.
Symptom: Employees can't see the new type in the request form.
Cause: The type's Visibility Status is off or the type was deactivated.
Solution: Turn visibility on with Edit or use Activate.
