Entering and updating an employee's salary (Registry > Salary)

Explains how to add wage records on the Wage section under an employee's Personal Information, record raises and corrections, use the minimum wage option, choose net/gross and the wage period, enter the IBAN and bank details, how validity dates work and…

This article explains how to enter an employee's wage (salary) in Teamso and how to update it after a raise or a correction. The wage is kept on the Wage section under the employee's Personal Information. Payroll is calculated from this record, so the wage must be correct and dated.

HR users who have the View Salary permission together with Add Employee List or Update Employee List do this. A user who only has View Salary sees the wage records but cannot add or change them. For how permissions are granted see Responsibility management.

Before you start

  • The employee must exist in Teamso (Adding an employee).

  • If your company has turned on the Salary change approval process, wages are not added directly on this section; see "If the approval process is on" below.

  • Have the amount ready, whether it is net or gross, the period it is paid for (monthly, daily, hourly) and the date it starts.

Step by step: open the Wage section

  1. In the left menu, go to People > Employee list. Click the action icon on the employee's row and choose Edit / Change.

  2. In the window that opens, switch to the Personal Information tab and click the Wage section.

Wage section on the Personal Information tab

You can open the same section on People > Personnel records by choosing the Salary section and using View / Edit or Add record on the employee's row (Registry Information screen).

The Wage section lists the employee's wage records in a table: Start, End, Net/Gross?, Wage Period and Wage. The record with an empty End date (-) is the wage in force today.

Wage records on the Wage section

Step by step: add a wage (first wage, raise or update)

  1. Click Add below the Wage section. The Add Wage window opens.

  2. Check the Wage Change Reason: New Hire, Salary Increase or Salary Update. It is preset to New Hire for the employee's first wage record and to Salary Increase for later ones; choose Salary Update for a correction.

  3. Choose the Wage Change Date (required). This is the day the new wage takes effect. You cannot pick a day before the start date of the latest wage record.

  4. If the employee is paid the minimum wage, choose Yes in Minimum Wage. Then:

    • Currency becomes TRY and Net/Gross? becomes Gross; they cannot be changed.

    • Wage Period can only be Monthly or Daily, and Wage is filled in automatically with the current year's monthly or daily gross minimum wage.

  5. Otherwise fill in the fields yourself:

    • Currency (required)

    • Wage (required): cannot be 0, at most 1,000,000.

    • Wage Period (required): Monthly, Weekly, Daily or Hourly.

    • Net/Gross? (required): whether the amount you entered is net or gross. Payroll converts net to gross or gross to net based on this choice.

  6. Optionally enter the account the salary is paid to: IBAN (the 24 digits after TR), Bank Name, Branch Number, Account Number.

    Add Wage window
  7. Click Save.

Step by step: correct, view or delete a record

The Actions column has three buttons for each record:

  • Edit (pencil): corrects a record entered by mistake. Do not edit the current record for a raise or a new period's wage; add a new record with Add so the wage history is kept.

  • Details (eye): shows all fields of the record, read only.

  • Delete (bin): deletes the record after a confirmation. If you delete the record in force, the previous record becomes the current one again (its end date is cleared).

If the approval process is on

If Salary change approval process is switched on in Pay and expenses > Compensation > Salary Change, the Wage section has no Add, Edit or Delete. The section says "Salary changes are subject to an approval process. Create a salary change request to add or update salary."

Wage section while the approval process is on
  1. Click Create Salary Change Request.

  2. Fill in the New Request window and click Save and Send for Approval.

When the request is approved, the new wage is written to this section. For details see Salary change approval process.

Result

  • The new record is added to the Wage section. The previous record's End date is set automatically to the new record's start date, so only one wage is in force at a time.

  • When payroll calculates a month, it uses the wage record in force on the last day of that month: the amount, currency, Wage Period and Net/Gross? come from that record. A raise that starts during the month is taken into account in that month's payroll.

  • Saving sends no email or notification. Wage records are visible only to users with View Salary.

  • A record marked as minimum wage is not updated automatically when the minimum wage changes in a new year. Add a new record with Add, dated from when the new minimum wage applies.

Common problems

Cause: You do not have the View Salary permission.
Fix: Ask for it on the Responsibility Management screen (Responsibility management).

Symptom: There is no Add button, only Create Salary Change Request.
Cause: The salary change approval process is on.
Fix: Create a request, or turn the process off (Salary change approval process).

Symptom: I cannot pick the past date I want in Wage Change Date.
