Defining projects and customers for overtime (Projects & Customers)

Explains how to add, search, edit and delete projects and customers on the Projects & Customers tab of Overtime Management, and how these records are used in the overtime form, Excel bulk upload and the report.

Linking overtime to a project or customer lets you see in the report how much overtime went into which piece of work. This article explains how to prepare these lists on the Projects & Customers tab of the Overtime Management screen. People with Overtime Manager or Overtime Admin see the tab. The lists are company-wide; they are not split by branch or department.

Before you start

Step by step

  1. In the left menu, go to Time and attendance > Overtime. In the view switch below the summary cards, click Projects & Customers. The number on the tab reads "number of projects/number of customers". Two cards open: Projects and Customers. The number in brackets in each card title is the number of records in the list.

  2. To add a project, click the + (Add Project) button on the Projects card. Type the Project Name and click Save. The message "Project has been successfully added." appears and the project is added to the list.

    Add Project window
  3. To add a customer, click the + (Add Customer) button on the Customers card. Type the Customer Name and click Save. A second customer or project with the same name cannot be added (upper and lower case do not matter); if you try, the message "A customer with this name already exists." or "A project with this name already exists." appears.

  4. To find a record, use the tools at the top of the card:

    • Type part of the name in Search by project name or Search by customer name. The search ignores upper/lower case and Turkish characters.

    • In the Sort menu pick Project Name (or Customer Name) or Date and the Ascending / Descending direction; Remove sorting puts the list back in its first order. The date each record was added is shown under its row.

  5. To rename a record, choose Edit from the ⋮ menu on its row, change the name and click Save. The new name appears on all overtime records linked to that project or customer.

  6. To delete a record, choose Delete from the ⋮ menu and confirm "Are you sure you want to delete?" with Delete.

Result

  • If at least one project or customer is defined in the company, the I want to add a project/customer. switch appears on the Overtime Request form. The person creating the request can switch it on and select a Project and a Customer; both are optional (Creating overtime requests).

  • The selected project and customer appear as tags on the overtime card in the Request Flow view. In the Excel file from Export Report they are written to the Project and Customer columns.

  • When uploading with Bulk Add (Excel), project and customer names must be the same as the names here (upper/lower case does not matter). For a name that does not match, the error "No project found with name "…"" is shown.

  • Overtime records linked to a deleted project or customer are not deleted. That project or customer no longer appears on their cards or in the report.

  • No notification is sent when projects and customers are added, edited or deleted.
