Shift report (planned versus actual, overtime risk)

Explains how to follow planned versus actual staffing, open shifts, overtime risk, forecast accuracy, acceptance rate, planning time, conflicts after publishing and fairness across branches on the Shift report screen, and how to export it to Excel.

This article explains how to follow shift planning for all branches in one place on the Shift report screen. Users with SHIFT_PLANNER_INSIGHTS_READ or SHIFT_MANAGE can open it and see only the branches they are responsible for.

Before you start

  • The report needs shared shifts in the selected range. Planning metrics (acceptance rate, planning time, conflicts) come from plans published with AI shift planning (Planning shifts with AI).

Step by step

  1. In the left menu go to Time and attendance > Shift report. In the filter row above the report, set the range with the Date range chip (the last 8 weeks by default; This month, Last month, Last 3 months, This year or a range in the calendar, never past today) and optionally one or more branches with the Branch chip. The × on a chip resets that filter, and Clear all resets both. The selection is kept in the address; whoever opens the shared link sees the same report.

  2. Read the cards:

    • Planned versus actual: the difference between shared shift days and person days actually worked. For companies with attendance records (PDKS) actuals count only the people who came; without them planned shifts are used. The line above says which source was used.

    • Open shifts, Overtime risk (employees with a week over 45 hours or annual overtime over 240 hours), Forecast error (WAPE) (lower is better), Acceptance rate (share of proposed assignments left unchanged in the published plan), Average planning time (from creating the proposal to publishing), Conflicts after publishing (shifts opened by leave or sick notes after publishing) and Fairness (weekend / night) (standard deviation in the team).

  3. Review the Deviation by branch and Planned and actual (weekly) charts and the Branch summary and People at overtime risk tables. Click a table header to sort by that column ascending, descending or not at all.

  4. Click Export to Excel to download the report.

Result

The Excel file contains the report on the screen for the selected date range and branches.

Common problems

Symptom: The charts say "No data in this range.".
Cause: There are no shared shifts in the range, or you are not responsible for the selected branches.
