If your branches pay salaries on different days, or you want to check payroll branch by branch, you can filter the period screen and preview each group separately. Previews accumulate during the period; at the end, Calculate Payroll calculates all employees together and closes the period. It is done by a user with Payroll Manager Permission.
Before you start
Employees' branch, department and position must be defined in the organization structure.
The period must be Active.
Step by step
On Pay and expenses > Payroll periods, select the open period.
Click Filter in the toolbar. In the Filter panel, choose Branch, Department and Position. The options cascade: when you pick a branch, the department and position lists narrow to that branch; each option shows its employee count.
Click Done. Your selections appear as chips above the table together with the number of filtered employees. Every category lists this group.
Check the group's data and preview only this group with Preview Filtered. Validation is also limited to this group; missing data in another branch does not block this group's preview.
Change the filter for the other branches and repeat. Click Clear Filter to remove it.
In the Preview category, follow Previewed: x / y employees. If some employees have not been previewed yet, you can preview them with Preview Remaining. While a filter is on, the total cards show Totals of the filtered group.
When all groups are ready, click Calculate Payroll. The confirmation reminds you that payroll is calculated for all employees of the period regardless of the filter, and how many employees have not been previewed yet, if any.
Result
Each group's preview is stored per employee; previewing a new group does not delete earlier groups' results. If an employee is previewed again, only their result is updated. Calculate Payroll always calculates and closes the whole period; there is no separate closing per branch.
Branch-restricted managers
Users whose Payroll Manager Permission covers only some branches:
See the warning "You only see employees of the branches you are responsible for" at the top of the screen.
Can enter and preview data for their own branches.
Cannot open a period, do not see Calculate Payroll, cannot reopen a period, and cannot change settings or reports. These require a payroll manager responsible for all branches.
The branches a payroll manager is responsible for come from the branch responsibilities on the Branch Management screen. A user responsible for all active branches, or with the company administrator role, is unrestricted. The permission itself is given on the Responsibility management screen.
Common issues
Symptom: An employee does not appear in the filter.
Cause: The employee's branch, department or position is empty or different.
Fix: Correct the employee's organization details and click Refresh Data.
Symptom: The confirmation says "x employees have not been previewed yet".
Cause: Some branches were not previewed.
Fix: Optionally check them first with Preview Remaining. Preview is not mandatory; the calculation still covers all employees.
