If you notice a mistake in a closed period (a missing bonus, a wrong law no, a forgotten employee, etc.), you can reopen the period, fix it and calculate again. It is done by a user with Payroll Manager Permission who is responsible for all branches.
Before you start
Only the closed period immediately before the active period can be reopened. For an older month, open the periods in between one by one first.
No calculation or preview may be running in any period.
If you only want to see the result for a check, you do not need to reopen: Previewing payroll in the open period is enough.
Step by step
On Pay and expenses > Payroll periods, select the closed period.
Click Reopen Period in the "Closed period" band at the top. (The same action is in the ⋮ menu of the selected period in the strip.)
Read the warning in the window: when you confirm, the data from the period closing is deleted and current system data is loaded. Values you entered manually on the payroll screen (timesheet, missing day reason, etc.) are kept.
If the period has calculated payroll, answer What should happen to existing payroll results?:
Keep existing payroll results: the old payslips stay valid until recalculated.
Delete existing payroll results and start fresh: the old results are deactivated.
Click Reopen Period.
Make the corrections, preview if you like, then close the period again with Calculate Payroll (Calculating payroll and closing the period).
Opening the previous period
When you select the active period, Open Previous Period also appears in the ⋮ menu. It has the same result: the previous closed period becomes active and the current period moves to draft.
Result
The reopened period becomes Active and editable.
The period that was active until then becomes Draft and is locked. The band "This period is marked as draft" appears; when the reopened period is closed, the draft period becomes active automatically.
Reports previously generated for the reopened period are deleted; generate them again after the period is closed.
E-payslips the employee has not answered yet are removed; approved or rejected e-payslips stay as history.
Recalculation does not use a second payroll credit for the same employee.
Common issues
Symptom: The Reopen Period button is not visible.
Cause: The selected period is not the one immediately before the active period, or your permission is limited to some branches.
Fix: Open the more recent period first, or ask a manager responsible for all branches.
Symptom: Nothing can be edited in the draft period.
Cause: The previous period is open again.
Fix: Calculate and close the previous period; the draft period becomes active automatically.
Symptom: After reopening, the withholding or bank report is gone.
Cause: Reports of a reopened period are deleted so that outdated files are not used.
Fix: Generate them again on Reports after closing the period.
