Bulk adding employees with Excel

Explains how to download and fill in the template with Bulk Add Employee, map the columns, fix errors in the preview and read the upload result.

This article explains how to add many employees at once from the Employees screen with an Excel file. Users with the Add Employee List permission do this.

Before you start

  • Every branch name in the file must exist with the same name in Organization Management. Branch names are matched case-insensitively.

  • Every row needs a unique Turkish ID / nationality number.

Step by step

  1. On People > Employee list, click Actions at the top right and choose Bulk Add Employee under Multiple Actions.

    Actions menu
  2. In the Add Employee with Excel window, download the sample file with the Download button in the Download the Template step. Do not change the column names or their order.

  3. Fill in the file. The template's column headers are in Turkish: Çalışan ID (employee ID), İsim (name), İkinci İsim (middle name), Soyisim (surname), Cinsiyet (gender), Uyruk (nationality), Vatandaşlık Numarası/TCKN (ID number), SGK Sicil Numarası (SSI number), Şube (branch), Doğum Tarihi (birth date), İşe Giriş Tarihi (employment start date), Telefon Numarası (phone), E-Posta (email), Şifre (password), Aktif/Pasif (active/passive), İkamet Adresi (address).

    • Required: employee ID, name, surname, gender, nationality, ID number, branch, phone number, email, active/passive.

    • Dates must be YYYY-MM-DD and between 1950 and next year.

    • Phone numbers must not contain letters, Turkish characters or dashes. Write Turkish numbers as in the template, +90 5XX XXX XX XX; the employee can also log in with this number.

  4. Drag the file onto Upload Your File or click to select it (XLS or XLSX, up to 10 MB) and click Continue.

  5. In the Map Columns step, check that each Excel column is linked to the right system field. Turn on Send Login Information by Email if login details should be emailed, then click Continue.

  6. Review the data in the Preview window. Invalid cells are listed with their row number; click a cell to correct its value.

  7. Click Upload.

Result

  • Rows without errors are added as employees and "{count} records uploaded successfully" is shown.

  • If the server rejects some rows, the Upload Errors window shows which row was not added and why. The other rows are added; fix only the failed rows and upload them again in a new file.

  • This screen only adds new employees; it does not update existing ones. If the same ID number already exists in the company (passive employees included) or appears twice in the file, that row is not added.

  • Position and manager are not entered with this file; use Bulk Position Add afterwards (Assigning position and manager).

Common problems

Symptom: An error saying the ID number is already registered in this company (passive employees included).
Cause: The person was added before.
Fix: Remove the row; if the person is passive, bring them back from the Inactive tab with Activate.

Symptom: Branch error.
Cause: The branch name in the file does not match a defined branch.
Fix: Write the branch name exactly as in Organization Management, or create the branch first.

Symptom: An employee added with Excel gets "The email address was not confirmed." at login.
Fix: Choose Email Confirmation in the row menu on Employees. For all the employees you added, use Select all waiting for e-mail confirmation (N) in Actions > Multiple Actions > Bulk E-mail Confirmation (Bulk e-mail confirmation and bulk login information).
