This article explains how to find an employee on People > Employee list and what you can do with the action menu on their row: change basic details and the password, keep notes, assign a shuttle, leave rule, calendar or branch, resend login details, confirm the email address and download the employee list as Excel. HR users do this; the permission each action needs is in the table below.
Adding, deactivating and the registry sections have their own articles: Adding an employee, Deactivating an employee, Filling in the registry sections.
Before you start
Everyone with View Employee List sees the Employees screen. A user with branch-based responsibility sees only the employees of the branches they are responsible for.
The options in the row menu depend on your permissions:
Action | Permission needed | Note |
Edit / Change | Update Employee List or Add Employee List | Tabs open according to the permission (below) |
Note | Update Employee List
Make Assignment | Update Employee List, Communication Module Administrator Permission, Add Leave Rule List or View Company Settings | Active employees only |
Send Login Information | Add Employee List or Update Employee List | Not shown for company admin accounts |
Email Confirmation | Add Employee List or Update Employee List | Only for an employee whose email is not confirmed |
Assigned Inventory List | Inventory Module Management
Data Entry Request | Manage Data Entry Request
Disable / Activate | Delete Employee List |
Step by step: find the employee
In the left menu, go to People > Employee list.
Choose one of the Active, Inactive and All tabs above the list (each tab shows how many employees it has). Deactivated employees appear under Inactive and All.
Type a first or last name in the Search by employee name box; the list filters as you type. Narrow it with the Branch, Department and Position chips next to it; each chip takes several values and the chips you set apply together (for example a branch and a department in it). Add filter opens the Years of service, Email Confirmation (Approved / Not Approved) and Data Entry Request filters (on a phone, in a bottom panel). The filters work together with the search and with each other, and the Excel export follows all of them. Click the × on a chip to remove it, or Clear all to remove the search and every filter. Your choices are kept in the page address; reloading the page or sharing the link opens the same list.
To filter by length of service, use the Years of service section of the Add filter panel. Pick a quick option (e.g. 2+ years) or type years into At least and At most. For example, for employees who have completed 3 years but not 4, type 3 in both. The years are the completed years from the employee's start date to today; employees without a start date do not match the filter. The years of service filter and column are shown only to company administrators and to users with the add or update employees permission or the payroll manager permission.
The results are listed in a table: Name, Branch, Department, Position, Start date (the start date with the length of service under it, e.g. 3 yr 9 mo), Employee no., Email and Actions. Company admins and users with the Add Employee List permission see the Employee no. and Email columns. Email confirmation and the data entry request are not separate columns: when something needs your attention, a small badge appears under the name (Email confirmation pending; Waiting, Data Entry Done, Waiting for Approval, Declined). Click the Start date header to sort by the longest or shortest service. Use the pager at the bottom to move between pages. With the Add Employee List or Update Employee List permission, the first column has selection boxes; use them for bulk e-mail confirmation and bulk login information (Bulk e-mail confirmation and bulk login information).
The Branch in the list is the employee's registered branch; branch-based permissions and lists use it. You change it with Make Assignment > Branch. The branch on the position record is separate (Assigning a position and manager).
Step by step: open the row menu
Click the action icon on the employee's row.
Choose the action you want. The options depend on your permissions and the employee's status.
Edit / Change: Basic Information
Choose Edit / Change in the row menu. The window opens on the Basic Information tab.
Update the fields: Name, Middle Name, Surname, Gender, Nationality, Turkish Identity Number (Nationality Number if the nationality is not Türkiye), Telephone Number and Email. Fields marked with a star are required; the Turkish Identity Number is validated.
You can enter your company's staff number in Personnel ID. If another employee already has the same Personnel ID, you see "Add failed. This Employee ID information is available."
Click Update and answer Yes to "Are you sure you want to update Employee ?".
Good to know:
Changing the basic fields needs Update Employee List; changing Personnel ID needs Add Employee List. Fields you are not allowed to change are greyed out.
If you change the Email, the employee receives a welcome email at the new address and the email confirmation is reset; until the employee confirms the new address the Email confirmation pending badge shows under the name (confirm it by hand with Email Confirmation if needed).
If another employee in the company has the same Turkish Identity Number, the update is rejected.
If you update your own record, you are signed out; sign in again.
Edit / Change: Change Password
If an employee forgot their password you can set a new one. The tab is shown with Update Employee List.
In the Edit / Change window, switch to the Change Password tab. The Sign-in email: line at the top shows the employee's email (it is not changed here).
Fill in New password and Repeat new password, or click Generate strong password: a 12 character password is generated, filled into both fields and shown. Copy puts it on the clipboard; copy it before you save so you can pass it on. Under the fields, At least 6 characters and Passwords match get a green tick as you type. The Password strength bar (Weak, Fair, Strong) is for information only; any password that meets the rules is accepted.
Read the What happens when you change it? box on the right and click Change the password.
If a field is empty, the password is shorter than 6 characters or the two entries differ, a red note appears under that field (for example "The two entries do not match.") and nothing is sent. The password changes at once; the employee gets a "your password was changed" notice but not the new password, so pass it on yourself. If you want the employee to set the password themselves, use Send Login Information; a set password link is emailed.
Users other than the company admin can change the password only of employees in the branches they are responsible for. The company admin's password can be changed only by the admin themselves or another company admin, and you cannot change the password of an employee who holds a permission you do not have (someone with more permissions than you). In these cases you see "You cannot change this employee's password." under the form. When someone else changes the password, the employee's open sessions end and they need to sign in again. The same rules apply to Send Login Information.
Edit / Change: Personal Information
The Personal Information tab is shown with Add Employee List and holds the employee's registry sections (position, wage, seniority, identity, family, documents, legal information…). How to fill in each card is explained in Filling in the registry sections, Entering the salary and Assigning a position and manager.
Note
Keeps short notes about the employee for HR's own use. The employee does not see the notes.
Choose Note in the row menu. The Notes window opens and lists the notes newest first, with their full text. Each note shows when it was added ("3 days ago"); hover it to see the full date and time. With no notes it says "No notes yet".
Type the note in the New note field at the top (up to 250 characters, counter at the bottom right) and click Save (Ctrl + Enter saves too). The note is added to the list without a second window.
To edit a note, click the pencil icon; the text is edited in place, save it with Update. To delete it, click the bin icon and choose Delete in "Delete this note?" under the note.
Make Assignment
Assigns a single employee to a shuttle, a leave rule, a work schedule, a public holiday calendar or a branch, all in one window. For bulk assignment use the screen of the related module.
Choose Make Assignment in the row menu. The Make an assignment window opens; the employee's name and title are under the heading.
Choose the assignment type in the list on the left. Only the types you have permission for are shown, and each one shows the employee's current value under it (e.g. "Now: Head Office"; Not assigned if there is none):
Shuttle (Communication Module Administrator Permission)
Leave rule (Add Leave Rule List)
Work schedule (View Company Settings)
Public holiday calendar (View Company Settings)
Branch (Update Employee List)
On the right, the Current row shows the employee's current value. Choose the new value in the New ... list (e.g. New branch). The current value is marked Current in the list and cannot be chosen. For a Shuttle, also enter the Stop name; you can change only the stop on the same shuttle too (choosing the current shuttle fills in the current stop).
Check the old and new value in the Change row and click Save. Save is only enabled when there is a valid change; while it is disabled the reason is shown at the bottom of the window (e.g. "The value you chose is already assigned.").
After saving, a "... assignment saved." message appears, the window closes and the list refreshes. What happens per type:
Shuttle: if the employee already has a shuttle, it is replaced; if the shuttle is full you see "Shuttle capacity is not sufficient." (Shuttle management).
Leave rule: the employee's previous rule is closed. The window also warns you: leave entitlements are recalculated under the new rule from the hire date (every night at 03:00) and the balance of the previous rule does not move to the new rule (Leave rules).
Work schedule: the employee's previous calendar is replaced by this one (Work schedules).
Public holiday calendar: the employee is added to the calendar you chose (Public holiday calendar).
Branch: the employee's registered branch changes; from now on the employee appears in the lists of the new branch's responsible users. The branch on the position record does not change (the window reminds you of this too); add a new position record too if needed. If a webhook is set up in your integrations, the branch change is reported.
Send Login Information
Use this when an employee forgot their password or lost the welcome email.
Choose Send Login Information in the row menu. The Send sign-in details window opens.
Check the employee's name and the email address the link goes to in the recipient line. The points sum up what happens: their current password stops working right away and open sessions end, a one-time link valid for 7 days goes to their email, and the email does not contain a password.
Click Send the link. To stop, click Cancel.
If the employee has no email address on file, the line says "No email address on file", Send the link stays disabled and the note "The link cannot be sent: add an email address with Edit first." appears at the bottom.
The employee's old password stops working at once; a link to set a new password is sent to the employee's registered email address. The employee opens the link and sets the new password on the Set your password screen. Make sure the email address is correct.
To send login information to several employees, select them in the table and click Send login information, or choose Actions > Multiple Actions > Bulk Login Information (Bulk e-mail confirmation and bulk login information).
Email Confirmation
An employee whose email address is not confirmed gets "The email address was not confirmed." at login. If the employee cannot find the confirmation email, you can confirm the address.
On the row of an employee with the Email confirmation pending badge under the name, choose Email Confirmation in the row menu.
The Email Confirmation window shows the employee's name and the email address to confirm. Click Confirm email.
The badge disappears and the employee can sign in.
To confirm the addresses of several employees, select them in the table and click Confirm e-mails, or choose Actions > Multiple Actions > Bulk E-mail Confirmation. Select all waiting for e-mail confirmation (N) picks everyone waiting for confirmation at once (Bulk e-mail confirmation and bulk login information).
Assigned Inventory List
The Inventory list window lists the items assigned to the employee (brand and model, serial no, assigned on, description, status). Select items and click Unassign on the bar at the bottom; Debit form opens the form in the same window. With no items it says "No items are assigned to this employee" and Go to inventories takes you to the Inventories page. For details see Assign items, change their status and unassign them.
Step by step: download the employee list as Excel (My lists)
To narrow the list, use the search box and the filters first (e.g. Branch / Department / Position: Ankara Branch or Years of service). The downloaded file follows this filter.
Click the Export button at the top right and choose Download active list or Download passive list. The list follows the current search and filters. A Preparing your list notice appears in the bottom right corner with the list name and a filter summary (e.g. "Ankara Branch, 42 records"). The file is prepared in the background; you can move to another page meanwhile.
When the list is ready, the Your list is ready notice appears in the bottom right corner; click Download.
If you closed the notice, open Export > My lists or Actions > My lists. The lists show List, Status, Requested and File; click Download on a row whose status is Ready (Downloading a list as Excel and My lists).
For each employee the file has full name, ID number, start and birth date, education, branch, department, position, manager, address, city, phone, IBAN, email and status columns; the passive list also has the leave date and leave reason. A company admin gets all employees; other users get only the employees of the branches they are responsible for. If no employee matches the filter, the status becomes No records; if preparing fails, it shows Failed and Try again on the row prepares it again with the same filters.
Bulk Add Employee, Bulk Position Add, Multiple Data Entry Request, Multiple Deactivation, Multiple Activation, Bulk E-mail Confirmation and Bulk Login Information under Multiple Actions in the Actions menu are covered in their own articles: Bulk adding employees with Excel, Assigning a position and manager, Data entry request, Deactivating an employee, Bulk e-mail confirmation and bulk login information.
Result
Changes to Basic Information, the branch and assignments are saved immediately and the list refreshes.
Actions that send email: Send Login Information (a set password link), Change Password (a "your password was changed" notice to the employee) and changing the email address (a verification email to the new address and a "your email address was changed" notice to the old one). Note, Email Confirmation and assignments send no email.
Notes are visible only on the Employees screen, to users who can see the Note option.
Common problems

Cause: The employee is a company admin account; these actions are not shown for admin accounts. Or you lack the permission.
Fix: Check the permissions in the table.
Symptom: Make Assignment is not in the menu.
Cause: The employee is passive, or you have none of the permissions listed in the table.
Symptom: Only Branch appears in the Make an assignment window.
Cause: The other assignment types need the related module permission (shuttle, leave rule, calendars).
Symptom: Save is disabled in the Make an assignment window.
Cause: No new value was chosen, the stop name of a shuttle is empty, or the value you chose is already assigned. The reason is shown at the bottom of the window.
Symptom: "Add failed. This Employee ID information is available."
Fix: The Personnel ID must be unique in the company; enter another value.
Symptom: The employee gets "The email address was not confirmed." at login.
Fix: Confirm the address with Email Confirmation.
Symptom: Some employees are missing from the downloaded list.
Cause: The list follows the current search, the filters and the branches you are responsible for.
Fix: Clear the search and the filters (Clear all) and request the list again.
Symptom: Send Login Information warns "You cannot reset the company admin's password".
Cause: Only another company admin can reset the company admin's login. The action needs the Add Employee List or Update Employee List permission.
Symptom: Change Password warns "You cannot change this employee's password."
Cause: The employee is the company admin, is outside the branches you are responsible for, or holds a permission you do not have.
Fix: Ask a company admin to change the password.
