This article explains how to define the Work Schedule and Public Holiday Calendar used to count leave days and how to assign them to employees. Viewing work schedules requires WORKING_CALENDAR_READ; adding and assigning them requires WORKING_CALENDAR_ADD.
In a leave request, the number of days is calculated like this: days that are working days in the work schedule are counted and public holidays are deducted. The first and last day can be counted as partial days based on the selected times.
Before you start
Public holidays must be defined on Time and attendance > Public holidays (this screen is in the Company Settings menu; see Settings). A user with WORKING_CALENDAR_ADD who does not see the Company Settings menu opens the same screen from Time and attendance > Public holidays.
Step by step
Creating a work schedule
In the left menu, go to Time and attendance > Work calendar.
Click Add. The Create a New Schedule window opens.
Fill in Name (up to 50 characters) and Description (up to 250 characters).
Choose the work type: Day (work starts and ends on the same day) or Night Shift (work starts on one day and ends the next).
Enter the Work Time (start and end time) and Break times.
Click the days of the week to switch working days on or off; days switched off count as weekly rest days. At least one working day must be selected.
If needed, switch on one of the Saturday options:
Add Saturday to leave taken from Monday to Friday.
Add Saturday to leave that includes Friday.
Add Saturday to leave that includes Friday and at least one other day.
Click Save.
Assigning the schedule to employees
In the ⋮ menu of the schedule's row, click Assign to Employees.
Select the employees and save.
Finding calendars
The summary row above the list shows Total Calendar, Default Calendar (with its weekly working time), Assigned Employees and Calendars without employees. Below it each calendar is one row in the content card: its name, badges (Default, Night shift) and description, the start and end time and the break of every day of the week (a day without work reads Off), the Weekly working time with the number of working days, and Assigned employees. Clicking a row opens the Work Schedule window (full screen on phones). The Detail tab shows General information, the Weekly schedule (the working time, break and net time of every day, with the weekly total and the number of working days on top) and the Saturday rules with their explanations; Edit switches the same window to editing and Save saves it. The Assigned Employees tab has a Search by employee name box, the employee list and a pager; Assign to Employees opens from here too. The Search by calendar name box at the top of the card searches calendar names; click the Description chip to filter by description (a set chip reads "Description: ...", and its × removes it). Sort on the right orders the list by calendar name or description, ascending or descending; Remove sorting goes back to the default order. When there are more calendars than fit on one page, use the pager at the bottom of the card. The search, filter, sort and page stay in the address, so a refresh opens the same list.
With Make Default in the row menu you can make the schedule the company default, and with Copy you can duplicate it. You can see assigned employees under Detail > Assigned Employees in the row menu.
A deactivated employee does not appear in the Assigned Employees list or in the employee count on the rows. The assignment is kept: once the employee is reactivated, they appear in the same schedule again. A schedule that only deactivated employees are assigned to can be deleted; their assignment then moves to the default schedule.
Checking public holidays
Go to Time and attendance > Public holidays (or Time and attendance > Public holidays if you have no Company Settings menu).
When adding a holiday, choose Full Day or Half Day. A half-day holiday counts as 0.5 day in the leave calculation.
Repeat every year copies the holiday to the next year automatically. Copying runs every year on the night of 1 June; religious holidays tied to the Hijri calendar are not copied and must be entered by hand each year.
If you switch on Include in leave calculation, this holiday is included in the employee's used leave day count (it is not deducted).
Assign the calendar to employees with Assign to Employees.
Result
In a leave request, the employee sees the calendars assigned to them, and the days are calculated from them. If Work Schedule Disabled is on in the leave category, calendar days are counted; if Official Holiday Calendar Disabled is on, public holidays are not deducted (Creating leave rules).
Note: The Workday Plan in the Timesheet module is a separate calendar and is not used for leave calculation (Overtime, Timesheet and Shifts).
