Requesting leave and viewing your balance

Explains how to create a leave request as an employee, how the number of days is calculated, the SMS verification, and where to see your remaining leave balance in the My leave balance card on the home page and in your profile.

This article explains how to create a leave request for yourself and view your remaining leave balance. All employees with the LEAVE_ADD permission can do this; employees get this permission by default.

Before you start

  • You must have a Public Holiday Calendar, Work Schedule and Leave Rule assigned. If not, contact your manager.

  • Your mobile number must be in your profile: a verification code sent by SMS is required to submit the request.

  • Your company must have Teamso Digital Credit. Without credit, the warning "You do not have enough Teamso Digital Credit to add a leave." appears.

Step by step

  1. Click Create at the top of the left menu and choose Leave request in the list that opens. You can also open the same form with Add on Mine > My leave, or with Leave request under Quick add on the home page.

    Create menu
  2. The top of the Leave type step shows your assigned Working calendar and Public holidays calendar. If you have more than one leave rule, select the Leave Rule first; with a single rule it is shown on that line. Then click one of the Leave Type cards: each card shows your remaining balance (… days left); types without a day limit show Unlimited and the later steps show no remaining days. If your rule has no active leave type, the cards are replaced by "This leave rule has no active leave type."; contact your HR team. With many types, filter them with Search leave types. Click Next (double-clicking a card also moves on).

  3. The top of the Dates step shows the leave type you chose and your remaining balance; click Change to pick another type. Choose the Leave Start Date and Leave End Date; the time field sits next to each date. For day-based leave types, the time field lets you pick the Shift Start Time, Lunch End Time or Shift End Time, so you can take half a day; for hour-based leave you pick from half-hour slots. Times must fit the range of your work schedule. Once the dates are set, the box below shows the leave Duration, the balance Left after this leave and the Back at work date. Click Next.

    Dates step
  4. The top of the Details step sums up the leave type, the number of days and the dates; Change on each line takes you back to that step. Fill in Leave Address (optional, up to 50 characters) and Leave Description (up to 250 characters). The Leave Phone Number is the mobile number in your profile; update your profile to change it. If the leave type requires a description or a document, that field is mandatory; upload the document in Required Document Upload. Click Next. The system checks the request; if it breaks a balance, date-overlap or rule limit, the reason is shown in the Cannot be Added window.

  5. In the Review step, check the Requested, Current balance and Remaining days and the Start, End and Back at work dates, then click Save. Click Previous to correct something.

    Review step
  6. Enter the verification code sent to your phone in the Approval of Leave Entry window.

Result

  • The request enters your department's approval process with the status On Admin Approval, and the approver receives an e-mail and an in-app notification. If your department has no approval process, the request becomes Approved immediately.

  • If the leave type requires a document and you did not upload one, the request waits as Document Entry Pending; click the request on Leaves and upload the document to send it to approval (Listing, filtering and viewing leaves on a calendar in the Leaves screen).

  • The days of a request in approval are shown as deducted from your remaining balance. If the request is rejected or you withdraw it, the days come back.

  • You can withdraw your request while it awaits a decision with Withdraw My Request in the row's Actions menu on the Leaves screen (Cancelling a leave).

  • Each record uses 1 credit from the company's digital credit.

  • You learn the outcome by e-mail and in-app notification.

Viewing your balance

You can see your remaining leave in two places: the My leave balance card on the home page and the Leave history tab of My profile.

The My leave balance card on the home page

  1. On the home page, the Leave left tile in My day shows your annual leave balance. Click the tile to see the whole card.

  2. The My leave balance card shows, for Annual Leave under your current leave rule (if the rule has no annual leave, the type marked primary, otherwise the first type with a day limit; unlimited types are not used), the days left (Annual leave left), the days Used and Entitled below it, and your next approved leave if there is one. If you have gone over your balance, the days left show as negative and in red.

  3. Request leave opens the leave form, My leave goes to your leave list.

My leave balance card

If the card says "No leave policy has been assigned to you yet.", no leave rule is assigned to you; contact your HR team. The balance of other leave types and of your earlier rules is on the Leave history tab of My profile.

The Leave history tab of My profile

Open My profile from the account menu at the top right (or Mine > My profile) and open the Leave history tab. The leave rule assigned to you is shown at the top. Below the Leave rule and Leave type selections, tiles show the Entitled, Used and Remaining days and the Usage rate. Entitlements lists entitlement movements, Approved leave the leave you have used and Next entitlements your next entitlement date and the days left.
