The Time and attendance > Leave screen brings together every leave record you are allowed to see. You can filter the list by a field, sort it by a column header, open the full details of a leave and see the same records on a calendar. Anyone with the Add Leave List or Add Leave List (Multi) permission can open the screen; employees get Add Leave List by default. In the left menu, Leave appears for holders of Add Leave List (Multi) and for anyone who is the direct manager of at least one employee; leave notifications for a manager open this screen too, with Leave selected in the menu.
Whose leave appears in the list
The list and the calendar show the same records. Which records you see depends on your permissions and your place in approval processes:
Who | Leave they see |
Everyone | Their own leave (in every status). |
A person in the approval process | Requests in On Admin Approval whose turn has come to them. |
Manager | All leave of the employees who report directly to them. |
Holder of View Leave List (Multi) | Approved leave of employees in the branches they manage. |
Holder of Add Leave List (Multi) | All leave of employees in the branches they manage. |
Permissions are granted on Configuration > Leave > Responsibilities (Manage Permissions). Holders of Add Leave List (Multi) also see the Bulk Leave Entry and Add Bonus Leave buttons on this screen (Adding leave and bonus leave for employees).
Mine > My leave opens the same screen with your own leave only. There the Personnel Name column, the employee name search (the box searches the leave type) and the Bulk Leave Entry / Add Bonus Leave buttons do not appear; even with these permissions, actions for other people are on Time and attendance > Leave.
Before you start
You need the Add Leave List or Add Leave List (Multi) permission. Without either, the screen shows "You don't have the permissions".
To see other people's leave, you must meet one of the conditions in the table above.
Step by step
Filtering and sorting the list
In the left menu, go to Time and attendance > Leave. The list opens with the most recently requested leave at the top. The columns are Personnel Name, Leave Rule, Leave Type, Leave Start Date, Leave End Date, Leave Period, Status, Leave Request Date and Actions. When the table area is too narrow for all of them (for example at 1440 pixels wide with the left menu open), the Leave Rule and Leave Request Date columns are hidden; both still show in the leave details and stay in the filters.
The list is in one content card. The tabs at the top split the leave by status: All, Awaiting approval, Document Entry Pending, Approved and Rejected. Each tab shows how many leaves match the current filters.
Use the toolbar under the tabs:
Search by employee name: Type part of the name; the list refreshes shortly after you stop typing. Turkish characters do not matter ("sahin" also finds "Şahin"). If you type several words, records that contain all of them are shown. On My leave this box becomes Search by leave type and searches the leave type name.
Leave Type chip: Click it and choose a leave type. Types with the same name are told apart by their rule name.
Date chip: Choose This month, Last month, Last 3 months, This year or a range in the calendar. Leave that overlaps the range (is in progress on those days) is listed.
Add filter: The Leave Rule and Leave Request Date (the day the request was made) filters are here; the button shows how many are set.
The filters and the search apply together. A set chip reads like "Leave Type: Annual Leave"; its × removes that filter, and Clear all removes the search and every filter.
Use Sort on the right to order the list by any column except Actions, ascending or descending; Remove sorting goes back to the default order (newest request first). Clicking a column header changes the same sort: the first click sorts ascending, the second descending, and the third removes the sorting. Sorting by Status follows the workflow: awaiting approval, awaiting a document, approved, rejected.
Use the pager at the bottom of the card to move between pages and to choose how many records a page shows (10, 20, 50 or 100; 50 by default).
The tab, search, filters, sort and page stay in the address, so a refresh or the back button opens the same list.
When the card is wide enough the list shows as a table; when it is narrow (on a phone, or on a narrow screen with the left menu open) the records open as cards.
Opening the details of a leave
Open the Actions (⋮) menu at the end of the row and click Detail. For rows in Document Entry Pending, clicking anywhere on the row also opens the details.
The top of the Leave Detail window shows the employee, the status of the leave, Start and End (with weekday and time) and the Leave Period. Below are the Leave Information (Leave Type, Leave Rule, Request Date), Contact During Leave (Phone, Address) and Description sections. For a rejected leave, the Rejection Reason is shown as well.
The Approval Process section lists the people at each approval step in order. Each person shows Approved, Rejected or Pending, with the date once they have acted. An ⓘ next to an approval means it was given with "Approve and Continue".
The Leave Documents section holds the document uploaded to the request (Document Uploaded) and, if there is one, the QR Coded Leave Form. Clicking them opens them in a new tab. Only users with the View Timestamp permission see and download the Leave Timestamp file.
If your own leave is in Document Entry Pending and no document has been uploaded yet, the Required Document Upload area appears at the bottom of the window. Upload a single file (JPEG, PNG or PDF, up to 10 MB) and click the Save button that appears after the upload. Once the document is saved, the request enters the approval process (Requesting leave).
Close the window with the × at the top right.
Using the calendar view
In the list / calendar switch on the right of the toolbar, click the Calendar button with the calendar icon (List takes you back). The calendar narrows by the search box or, without a search, by the Leave Type or Leave Rule filter; the status tabs, Date, Leave Request Date and Sort show only with the list. The same leave records are shown on a monthly calendar with the employee's name and the colour of their status. Leave that spans several days appears as a bar, single-day leave in that day's box. When a day cannot fit all its leave, a "+N more" link appears; click it to open all leave of that day.
Use the Month, Week and Day buttons at the top to change the view. In the Day view, leave with times is placed on the hour grid, and the leave box shows the time range and the leave type.
Use the arrow buttons to go to the previous or next month, week or day. Today takes you back to the current period. Weeks start on Monday.
The status buttons above the calendar (for example Approved, On Admin Approval) show only the statuses present in that period. Click a status to hide its leave from the calendar; click it again to bring it back. For example, keep only Approved on to see confirmed leave.
Click a leave on the calendar. The same menu as Actions in the list opens: Detail, Approve/Reject when it is your turn, and Delete (greyed out if you do not have the Delete Leave permission).
To go back to the list, click the List button with the list icon to the left of Calendar in the toolbar.
Result
Filters and sorting change only the view; they do not touch the records. When you reload the page, the filters reset and the screen opens in list view (with the card or table layout you chose last).
The calendar applies the filter active in the list. For example, if you search for a person with Personnel Name and then switch to the calendar, only that person's leave is shown.
Leave you approve, reject or delete in the calendar or the list is updated in both views straight away (Approving or rejecting a leave request, Cancelling a leave).
Hovering over the On Admin Approval label shows which approval step the request is at.
Common problems
Symptom: An employee's leave does not appear in the list.
Cause: You do not meet any of the visibility conditions in the table above for that employee. For example, View Leave List (Multi) shows only approved leave, and the employee must be in a branch you manage.
Solution: Ask an admin user for the permission or branch scope you need.
Symptom: The date filter does not bring up someone who is on leave on that date.
Cause: The date filter only matches the exact start, end or request date.
Solution: Open that week or day in the calendar view.
Symptom: Clicking a leave on the calendar does not show Approve/Reject.
Cause: The request is at another approval step, has already been decided, or does not come to you for approval.
Solution: Check the Approval Process section with Detail.
