Cancelling a leave (deleting a leave record)

Explains how an employee withdraws their own request that is still awaiting a decision, how a leave record is deleted from the Leaves screen with SMS verification, and how this affects the balance and payroll.

In Teamso, a leave is cancelled in one of two ways:

  • An employee withdraws their own request that has not been decided yet (On Admin Approval or Document Entry Pending) with Withdraw My Request. No extra permission, SMS code or digital credit is needed.

  • An approved leave, or someone else's leave, is deleted from the Leaves screen. Deleting requires the LEAVE_DELETE permission, which employees do not have by default. A user responsible for certain branches can delete only the leave of employees in those branches.

A request that has not been approved yet can also be closed by the approver with Reject (Approving or rejecting a leave request).

Withdrawing your own request

  1. In the left menu, go to Time and attendance > Leave.

  2. On the row of your request, open the Actions menu and click Withdraw My Request. The option appears only on your own requests that are awaiting a decision.

  3. Confirm with Withdraw My Request in the window that opens.

The request leaves the list, the deducted days return to your balance and your manager gets an e-mail saying the request was withdrawn. An approved or rejected request cannot be withdrawn; to cancel an approved leave, contact your manager or HR.

Deleting a leave record

Before you start

  • You need the LEAVE_DELETE permission (Manage Permissions).

  • Your mobile number must be in your profile and the company must have digital credit: deleting requires SMS verification and uses 1 credit.

Step by step

  1. In the left menu, go to Time and attendance > Leave.

  2. On the row of the leave to delete, open the Actions menu and click Delete. Without the permission, Delete is greyed out and cannot be clicked. Clicking the leave in the calendar view opens the same menu.

  3. In the SMS Verification window, enter the 6-digit code sent to your phone and click Confirm.

Result

  • The leave record is deleted permanently and removed from the list. The used days return to the balance.

  • The employee's manager receives an e-mail and an in-app notification that the leave was deleted.

  • If the leave falls into a closed payroll period, it is still deleted but the closed payroll does not change; you see a warning about this on screen. Correct it on the payroll side if needed.

  • Deleting does not depend on status: pending, approved or rejected leave can be deleted.

  • Deleting uses 1 digital credit (when the timestamp is taken).

Common problems

Symptom: The Delete option is greyed out.
Cause: You do not have the LEAVE_DELETE permission.
Solution: Ask an admin for the permission, or leave the deletion to HR. For your own request that is awaiting a decision, use Withdraw My Request.

Symptom: Deleting the leave of an employee in another branch fails with an "outside branch scope" error.
Cause: You can delete only the leave of employees in the branches you are responsible for.
Solution: Ask the person responsible for that branch or the company administrator.

Symptom: Withdraw My Request does not appear.
Cause: The request has been approved or rejected, or it is not yours.
Solution: To cancel an approved leave, contact your manager or HR.

Symptom: A digital credit error appeared after entering the code.
Cause: The company has run out of digital credit.
Solution: Try again after credit is topped up.

Symptom: The deleted leave still appears in payroll.
Cause: The leave belonged to a payroll period that was closed before it was deleted.
Solution: A closed payroll does not change; correct the difference in an open period.
