Public holiday calendars, automatic official holidays and assigning employees

Explains how to find calendars on the Public holidays screen, how Turkey's official holidays (including Eid al-Fitr and Eid al-Adha) are loaded automatically and previewed with Update holidays, how to add company days, assign a calendar to employees and…

This article explains how to manage your holiday calendars on the Public holidays screen. Your company can have more than one calendar (e.g. for branches in different cities); each employee is assigned one calendar. Users with the View Company Settings permission can open this screen. Adding, editing, copying, deleting a calendar, making it the default, adding holidays and updating official holidays need the Company Permission Settings, Add Working Calendar or Working Calendar Permission Management permission (or the company admin role); a user with only the view permission sees the calendars and holidays and can assign calendars to employees, but does not see these buttons.

Companies in Turkey do not need to enter official holidays by hand: Teamso adds the fixed holidays of Law no. 2429 (1 January, 23 April, 1 May, 19 May, 15 July, 30 August, the afternoon of 28 October as a half day and 29 October) and the Eid al-Fitr (eve as a half day + 3 days) and Eid al-Adha (eve as a half day + 4 days) dates announced by the Presidency of Religious Affairs (Diyanet) to your calendar itself. Every employee added to the system is automatically assigned the calendar that is Default at that moment.

Before you start

  • You need the View Company Settings permission; changing calendars also needs Company Permission Settings, Add Working Calendar or Working Calendar Permission Management (Manage Permissions).

  • If you will add a company day (e.g. the founding day), decide its date and whether it is a full or half day.

Step by step

Finding calendars

  1. In the left menu, go to Time and attendance > Public holidays. Your calendars are in one list card. Each row shows the calendar name (with the Default and System labels), this year's summary (number of holidays, total days and working days), the Next holiday and how many days are left, how many employees use it and the Automatic update status (On, Off or Not supported).

    Public holidays screen
  2. The Search by calendar name box searches calendar names; click the Description chip to filter by description. Sort orders the list by name, this year's holiday days, next holiday, number of employees or automatic update status. The search, filter, sort and page stay in the address. On narrow screens the calendars appear as cards.

  3. Click a row to open the calendar (or choose Open calendar in the menu at the end of the row).

The calendar window: reviewing holidays

The calendar window has three tabs: Holidays, Assigned employees and Settings. The tabs and the toolbar stay at the top; only the list scrolls.

  • Year: use the arrows to go to the previous or next year, or pick a year in the year box. Under it a summary line shows the number of holidays, working days (holiday days on weekdays; a half day counts as 0.5), the number of half days and the days that fall on a weekend.

  • The List view shows holidays month by month. Each row shows the date and weekday, the holiday name, the duration (1 day, Half day or the number of days), a Weekend label when it falls on a weekend, and the source label: Automatic (added from the official holiday source), Automatic, edited (added automatically, then changed by you) or Manual (added by you). The description is shown only when it is not the name repeated. Edit with the pencil icon, delete with the bin icon.

  • The Year calendar view shows the twelve months on one screen: full-day, half-day and multi-day holidays in different colours, weekends faded, today outlined. Click a holiday to see it in the List view.

Updating official holidays automatically

Update official holidays automatically is on for the default and system calendar of companies in Turkey. While it is on:

  • Every 1 December next year's official holidays are added to the calendar; missing years (the current and the next year) are also filled in when the system restarts.

  • Only missing days are added; a day never gets a second holiday.

  • Days you added or edited are left alone. An official holiday you deleted is not added again.

  • Past years and past days of the current year do not change; closed payroll and leave periods are not affected.

To change it, open the Settings tab in the calendar window, turn Update official holidays automatically on or off and click Save. The setting is off for extra calendars you create; you can turn it on. Next to the summary line of the Holidays tab you see Automatic update on or Automatic update off.

Official holidays are not loaded automatically for companies outside Turkey; the list shows Not supported and you enter holidays with Add holiday.

Update holidays (preview and add)

To add a year's official holidays without waiting, or to check the calendar:

  1. In the calendar window, pick the year and click Update holidays. When official holidays are missing in the selected year, a strip above the list says so too; Review in the strip opens the same window.

  2. The window lists the official holidays in groups:

    • To be added: days missing from the calendar,

    • Date to be updated: the official date of an untouched automatic day changed,

    • Days you deleted (not added back): tick Add back next to a day to add it again,

    • Entered or edited by hand (left alone),

    • Already in the calendar,

    • Date passed (not added).

  3. Click the button at the bottom (e.g. Add 9 days). When the calendar is up to date it says "The calendar is up to date: no official holiday to add."

If you pick a year that is not in the official data yet, only the fixed-date holidays are listed and the window says so.

Adding a company holiday

  1. In the calendar window click Add holiday (or choose Add holiday in the calendar row menu).

  2. Fill in the fields:

    • Name (required),

    • Type: Full Day, Half Day or More Than One,

    • Date (for several days Start Date and End Date),

    • Description (optional; when empty, the list shows only the name).

  3. Set the options:

    • Include in leave calculation: when on, this holiday counts towards the leave days the employee uses (it is deducted from leave). When off, the holiday is not counted as a leave day.

    • Repeat every year: when on, the holiday is copied to the next year every 1 June.

  4. Click Save.

    Add holiday window

Important: A new holiday starts with Repeat every year on and Include in leave calculation off, so the holiday is not deducted from the employee's leave. Automatically added official holidays are not counted as leave either. When you edit an automatically added day, the window warns you: after you save, the automatic update leaves that day alone.

Assigning a calendar to employees

  1. Open the Assigned employees tab in the calendar window (or choose Make Assignment in the calendar row menu). Search the assigned employees with the Search employees box.

  2. Click Assign to employees, select the employees and click Save.

A calendar without any holidays cannot be assigned. A deactivated employee does not appear in this list or in the assigned employee counts; the assignment is not deleted and they show up in the same calendar again when reactivated. A calendar assigned only to inactive employees can be deleted; their assignment then moves to the default calendar.

Creating, copying, making default and deleting

  • For a new calendar click Add at the top right. In the Selection of Public Holiday Calendar window enter a Calendar Name (up to 50 characters) and optionally a Description; to carry over the holidays of an existing calendar pick it in Choose a calendar to copy holidays from, then click Save.

  • Copy in the calendar row menu duplicates a calendar as it is.

  • In the Settings tab you change the calendar's name and description (the system calendar's name cannot be changed).

  • Set as Default makes the calendar the default. Employees added from then on get this calendar; existing employees keep theirs.

  • Delete deletes a calendar. The default calendar, the system calendar and calendars assigned to employees cannot be deleted; the menu says why.

Result

In an employee's leave request, holidays in their assigned calendar (those with Include in leave calculation off) are not counted as leave days. The calendar is also the source of public holidays in the timesheet (Leave overview).

Common problems

Symptom: A public holiday was deducted from an employee's leave.
Cause: Include in leave calculation is on for the holiday.
Solution: Edit the holiday and turn the option off.

Symptom: Next year's Eid al-Fitr or Eid al-Adha is missing from the calendar.
Cause: Update official holidays automatically is off for the calendar, or you deleted these days earlier.
Solution: Pick the year in the calendar window and click Update holidays; bring deleted days back with Add back. Turn the automatic update on in the Settings tab to have them added every year.

Symptom: This year's past religious holidays were not added.
Cause: The automatic update does not touch past dates (so closed periods stay as they are).
Solution: If you really need a past day, enter it with Add holiday.

Symptom: There is no Update holidays button and the list says Not supported.
Cause: Your company's country is not Turkey; automatic loading is available only for Turkey for now.
Solution: Enter holidays with Add holiday.

Symptom: Delete is disabled.
Cause: The calendar is the default, a system calendar or assigned to employees.
Solution: Make another calendar the default and assign the employees to another calendar.

Symptom: Make Assignment is disabled and says "No assignment can be made."
Cause: The calendar has no holidays.
Solution: Add holidays to the calendar first.
