Deactivating an employee (termination) and activating them again

Explains how to deactivate a leaving employee with the dismissal date and SSI exit reason, deactivate only, set the rehire status (grey list or blacklist), schedule a future termination and reactivate the employee with a return date.

This article explains how to deactivate a leaving employee on the Employees screen and how to bring them back when needed. HR users with the Delete Employee List permission do this. The Delete Employee List permission alone is enough (the server used to save the record only with the Add Employee List permission).

Before you start

  • If assets are assigned to the employee, they have to be unassigned before deactivation. You can do this in the first step of the deactivation window.

  • If an exit payroll will be calculated, confirm the dismissal date and SSI exit reason.

Step by step

  1. On People > Employee list, click the action icon on the employee's row and choose Disable.

    Employee row menu
  2. The Deactivate employee window opens. The employee's name, title and branch are shown under the title; the step strip at the top shows where you are.

The Assets step appears only if assets are assigned to the employee. You cannot continue until they are unassigned. The assigned assets are selected in the list; clear the ones you do not want to unassign. Click Unassign in the bar below the list and Unassign again in the confirmation. The assets go back to stock and can be assigned to another employee. When every asset is unassigned, the window moves to the Departure step by itself. Without the Inventory Module Management permission the list is read only; ask someone with that permission to unassign them.

  3. In the Departure step, answer Has the employee left?:

    • Yes, the employee left (SSI exit is recorded): Dismissal Date and Reason for Deactivation are required. The reason list shows the SSI exit codes with their numbers; you can search by code or reason. If "Other reasons" (22) is chosen, an Additional Information field opens. For Rehire status choose None, Grey list or Blacklist: the grey list is for people you parted ways with but may work with again, the blacklist for people who left for a serious reason and you do not want to work with again.

    • No, only deactivate (no SSI exit): only a Reason for Deactivation description is entered (up to 250 characters).

If the Dismissal Date is in the future, an Account closure time section opens below it. This time sets when integrations that listen to terminations (for example a webhook connected to an IDM system that closes accounts) learn about the termination; it does not change when sign-in, time attendance (PDKS) and timesheets close in Teamso. Account Closure Date and Time is required and is prefilled with 18:00 on the dismissal date; you can choose any time (Turkey time) between today and 30 days after the dismissal date. A time before the dismissal date is allowed too: if equipment is handed back on Friday and the official exit is on Monday, choose Friday 18:00; accounts in connected systems close on Friday while the employee stays active in Teamso (sign-in, PDKS, timesheets) until the dismissal date. Your integrations are notified of the termination at that time, not when you save. If your company has no active webhook that listens to terminations yet, the section shows a note saying so; webhooks added before this time still learn about the termination at this time.

    Account closure time

Click Continue. A required field that is empty shows a warning under it.

  4. In the Review and confirm step, check what you entered and, under When you save, the effects:

    • With Yes: sign-in, time tracking and timesheet close at the start of the dismissal date; the exit day counts as a worked day in payroll and time tracking punches for that day are not recorded (correct the day on the payroll screen if needed); the SSI exit code is written to the exit record. For a future exit it also says that the employee stays active until then and when integrations are notified.

    • With No: the employee is deactivated now and no SSI exit is recorded. The employee is automatically left out of payroll periods, including the current month; if the days worked this month must be paid, deactivate the employee after closing this month's payroll.

To change something, click Back or the step in the step strip.

  5. Click Deactivate.

To deactivate or activate several employees at once, use Actions > Multiple Deactivation / Multiple Activation. The Account Closure Time column of the bulk deactivation Excel template is optional (DD/MM/YYYY HH:MM); when filled, the rules of the single window apply and an unreadable or out-of-range value marks that row as invalid. If it is left empty and your company has an integration that listens to terminations, 18:00 on the dismissal date is used for future-dated terminations.

Result

  • If the dismissal date is today or in the past, the employee is deactivated immediately: their login is closed, their PDKS record and timesheet inclusion are turned off, and their active position record is ended.

  • If you entered a future date, the employee stays active until then; the same steps run automatically at the start of the dismissal date. The dismissal day counts as a worked day in payroll; PDKS punches for that day are not recorded.

  • If you entered an account closure time, your integrations learn about the termination only at that date and time (to the minute), so the account in the connected system is not closed early. If you cancel the termination before that time, no notification is sent to the integration. In a company with such an integration, a future-dated termination entered another way without a time (e.g. the Personal Information bulk import) also uses 18:00 on the dismissal date.

  • If the dismissal date falls into a closed payroll period, a warning is shown; that period's payroll and SSI notification may not match this date.

  • The employee moves to the Inactive tab. If an offboarding survey is set up for exits, it is sent automatically (E-Welcome and On/Off Boarding).

  • If a person with Blacklist as Rehire status is later transferred from E-Welcome to the employee list, Teamso warns you and the transfer must be handled manually.

Activating an employee again

  1. On Employees, choose the Inactive tab at the top.

  2. Choose Activate in the employee's row menu.

  3. In the Activation of Employee window, enter the Return date (today by default). Payroll excludes the months between the exit and this date and starts the return month on it. Once the exit date has arrived, the return can be the day after the exit at the earliest: for an employee whose exit date is today the date starts at tomorrow, and the calendar does not allow an earlier day. If the exit date has not arrived yet, activating the employee cancels the exit.

  4. Click Accept. If your seat limit is full, you need to free or buy a seat first.

Common problems

Symptom: "The termination date cannot be earlier than the hire date."
Fix: Check the dismissal date, or the hire date under Personal Information > Seniority.

Symptom: "İşe dönüş tarihi işten çıkış tarihinden (13.10.2026) sonra olmalıdır." (the return date must be after the exit date)
Fix: Choose a return date after the exit day shown in brackets. The exit day is the employee's last working day, so the return cannot be on the same day.

Symptom: Disable is not in the menu.
Cause: You do not have Delete Employee List, or the employee has the company admin role.

Symptom: "The account closure time must be between today and 30 days after the termination date."
Fix: Move Account Closure Date and Time between today and 30 days after the dismissal date. A past time or a time more than 30 days after the dismissal date cannot be chosen.

Symptom: The Account closure time section does not appear.
Cause: The dismissal date is today or in the past (the termination applies at once and integrations are notified then), or No (deactivate only) is selected.

Symptom: I want to cancel a future-dated termination.
Fix: Before the dismissal date, delete the record on the Passive User Info tab of the employee's Edit / Change > Personal Information > Seniority window; the termination is cancelled and timesheet/PDKS settings are reopened.
