This article explains how to enter each employee's payroll-specific details on Pay and expenses > Employee payroll data. This screen does not hold the salary, law no or document type; it holds SSI and tax status, carried-over bases, discount and R&D details. It is done by a user with Payroll Manager Permission.
The salary is entered on the employee's Personal Information > Wage screen; document type, law no, occupation code and disability on Personal Information > Legal Information. The payroll validation panel shows where each error is fixed.
Before you start
The employee must be registered and active in Teamso.
If you want default values for new employees, save the Default Options first (see below).
Step by step
Entering details for one employee
Go to Pay and expenses > Employee payroll data in the left menu. The table lists employees with their payroll data. The Search by employee name box above the list searches the full name; the Social security and Income tax filters (Yes / No) work together with the search. Sort by any column, ascending or descending, with Sort or a click on the column header; Clear all removes the search and the filters.
Open Details from the row menu or click Add Information.
Fill in the sections:
SSI Information: SSI Base Carried from Previous Month, SSI Base Carried from Two Months Ago, Premium Days from Other Payroll in Same Month and SSI Base from Other Payroll in Same Month.
Tax Information: Cumulative Income Tax Base, Minimum Wage Exemption Cumulative Base.
Subject Status: Is Employee Subject to SSI, Is Subject to Income Tax?, Is Subject to Stamp Tax?, Is Employee Subject to Minimum Wage Exemption?
Discount and Incentive Information: Employer SSI Premium Discount Type (required), Reflect Tax Discount to Employee, Apply Employer SSI Premium Discount as 5% (Manufacturing Sector).
R&D Information: R&D Scope, R&D Status, 4691 R&D Status, R&D Incentive End Date, R&D Project Code.
Save.
If the employee already has a calculated payroll, the cumulative base fields are locked; the value is calculated automatically from payroll results. Some fields that depend on the document type are also set automatically and cannot be changed.
Updating several employees at once
Select employees in the table. The selection box at the bottom offers three actions:
Bulk Update: the fields you check are updated for the selected employees; unchecked fields are left untouched.
Legal Information: updates legal details such as document type, law no and danger level for the selected employees. Choosing a document type other than "1 Nolu Belge" automatically updates the employee's SSI and discount settings.
Defaults: applies the saved default options to the selected employees, overwriting their current values.
Enter the values and click Apply.
Uploading via Excel
From the Bulk Operation menu choose Employee Information Excel or Legal Information Excel.
Download the template: it comes pre-filled with current values. Do not change the Personnel No and Full Name columns; employees are matched using them. Cells you leave blank are not changed.
Upload the file. Upload Preview shows the rows that will change and the rows with errors; click a cell to correct its value.
Apply with Continue. The result screen shows updated and skipped rows. Cumulative base fields cannot be updated for employees with calculated payroll; those rows are skipped.
Default options
Save the defaults in the Social Security and Tax, Discounts and R&D sections under Bulk Operation > Default Options. Payroll information for newly added personnel is created with these settings; existing employees are not affected.
Severance, notice and leave pay calculation
To calculate a departing employee's severance and notice pay or unused annual leave pay, click Seniority/Notice Calculation at the top of the screen. The window fills in details from the employee's records, deducts leave days excluded from severance and, if you want, transfers the result to the payroll of the exit month. Saved calculations are listed in the same window under Calculation History.
For step-by-step instructions, see Calculating severance pay, notice pay and unused leave pay.
Compulsory BES details
Whether the employee is subject to compulsory BES (private pension), the contribution rate, currency and start and end dates are not entered on this screen but in the Compulsory Private Pension System Information window in the employee's Personal Information menu. Users with Payroll Manager Permission or Benefit Manager Permission see this window. The details appear on the period screen under the Personnel Information > Mandatory BES Information sub-tab. The company-wide default rate is under Payroll > Settings > BES Settings and applies only to new hires (Setting up payroll). For all personal information sections, see Registry Information.
Result
The details you enter are used in the next preview and calculation. If you change them later, click Refresh Data on Payroll Calculation in the open period.
