This article explains how to fill in the E-Welcome form that the company hiring you sent through Teamso. You fill in the form as a candidate; you do not see other screens because you are not an employee yet.
Before you start
Set your password with the Set my password link in the email, or have the password from the SMS. The link works for 7 days and only once.
You must have received the "E-Welcome – Data Entry" email or SMS. If you log in before that, you see "No data entry was requested.".
Have your ID, address, emergency contact and bank (IBAN) details ready, plus photos/PDFs of the documents you will upload.
Step by step
Log in on the teamso.com login screen with your email address and password. The form opens automatically. It has four steps: Verify, Personal Information, Additional Information, Documents.
Verify: click Verify for your email address and phone number and enter the codes you receive. Continue works only when both show Verified.
Personal Information: check Name, Surname, Gender, Nationality and your ID number, then click Continue.
Additional Information: fill in the starred (*) fields:
Family Information (mother's and father's name), Birth Information, Emergency Contact
Personal Status (blood group, marital, retirement, disability and military status; depending on your disability or military status you may be asked to upload a document). Each status takes one document: when the file is uploaded you see "Uploaded". If you choose another file, it replaces the earlier one; a document you remove with the X next to the file is not sent to HR.
Education, Workplace and Salary Account (workplace, bank type, IBAN), Home Address
Teamso warns you if the bank you selected does not match the IBAN. Click Continue.
Documents: use the row menu for each document:
Show: opens the document.
Confirm: approves a document prepared by the company. For time-stamped documents you are asked for the code sent to your phone.
Reject: rejects the document, if the company allows it.
Upload: uploads a document requested from you (JPG, JPEG, PNG, WEBP, HEIC, PDF; up to 20 MB).
If documents are split into pages, you must approve every document on a page to move to the next one.
When all documents are done, click Complete.
Result
Your information is sent to HR and you return to the login screen.
If you try to log in again, you see "The documents you uploaded are pending approval." while the approvers review your information, and "Your information has been submitted to Human Resources. You will be informed once your onboarding process is complete." once the approvals are done; you cannot change the form.
After Complete the form is locked: you cannot change your information, approve or upload documents, not even from another tab that is still open.
If HR asks for a correction, you receive an email with the reason. When you log in, the Corrections were requested in your information box at the top of the form shows HR's note; fix the related parts and click Complete again.
If your record was rejected, logging in shows "Your submission was reviewed and not approved. For details, contact the HR team of the company that invited you."
Once you are transferred to the employee list, you start using Teamso as an employee with the same email address and password.
Common problems
Symptom: You were sent back to the login page while filling in the form.
Cause: For security, your session ends 12 hours after you log in.
Fix: Log in again with your email address and password; the information you saved is kept.
Symptom: When you click Complete or a save button, "Your information has been sent for approval; it can no longer be changed." appears and the form closes.
Cause: Your information was already sent for approval (for example from another tab); your record no longer waits for data entry. The page switches to a read-only screen that shows your record's status.
Fix: Leave with Back to Login Page. If something must be corrected, contact HR; HR can send the record back to you.
Symptom: The phone verification code does not arrive.
Fix: Check your number and request the code again; if the number is wrong, ask HR to correct it.
Symptom: The e-mail or phone verification says "Invalid Code" although you entered the right code.
Cause: Each code allows 5 attempts; after 5 wrong attempts the code is cancelled. A code also stops working once it has been used.
Fix: Close the window, request a new code with Verify and enter the latest code.
Symptom: You cannot change your verified e-mail address or phone number.
Cause: For security, details marked Verified cannot be changed from the form.
Fix: If a change is needed, ask HR to correct your record.
Symptom: The code for a time-stamped document says "Invalid Code".
Fix: Enter the code from the latest SMS. If you close and reopen the window before the code expires, the same code is sent again. If "This code has expired or has no attempts left" is shown, request a new code with Send Again.
Symptom: Entering the code shows "Confirmation code must be exactly 6 digits".
Cause: SMS codes always have 6 digits and a digit is missing. The field takes digits only; if you paste the SMS text, the code in it is used.
Fix: Enter all 6 digits. A short code is not sent and does not use up an attempt.
Symptom: Complete does not work, or "All documents on this page must be approved to proceed." is shown.
Fix: Approve or upload the documents that are not Approved in the documents list.
Symptom: "The entered IBAN does not belong to Garanti Bank…" / "The entered IBAN belongs to Garanti Bank…"
Fix: Correct the bank type to match your IBAN.
Symptom: Uploading a document shows "The file's content does not match its extension".
Cause: The file is damaged, or it is named .pdf but contains something else (e.g. a web page saved as PDF). Uploading the same file again gives the same result.
Fix: Download the document again from its source (e-Devlet: Download as PDF) or take a photo of it and upload it as JPG.
