This article explains how a raise proposal is entered and approved in an active compensation plan. The proposal is entered by the manager assigned as evaluator in the plan (COMPENSATION_BASIC) or by the compensation owner (COMPENSATION_MANAGE); the person in the approval chain approves it when it is their turn.
Before you start
The compensation plan must be Active (Create a compensation plan).
You must be assigned as an evaluator. When you are assigned, the COMPENSATION_BASIC permission is added to your account and the Compensation Management menu appears.
The employee's performance score and current salary must be entered in the plan.
Step by step: enter a raise proposal
In the left menu, go to Pay and expenses > Compensation.
Select the active plan in the Compensation Plans list on the left. The Employees table on the right lists the employees assigned to you and the proposals waiting for your approval. The table has the Current Salary, Sector Average Salary, Sector Difference, Performance Score, Raise Percentage and Proposed Salary columns.
Choose Data Entry from the ⋮ menu on the employee's row.
In the Data Entry window you see the employee's current salary, performance score and the raise range suggested for this score (e.g. "For performance score Good, salary increase should be between %10-%15").
Type the raise percentage in Salary Increase or the new salary in New Salary and press Enter. The other field is calculated automatically.
If the raise is outside the suggested range, Description becomes required; write your reason. A proposal without it is not saved by the server either.
Click Save to keep it as a draft, or Save and Send for Approval to send it straight to approval.
A proposal saved as a draft can be sent later with Send for Approval in the row menu. A rejected proposal also shows Data Entry and Send for Approval in the row menu; the reason for rejection appears at the top of the window (in the list, hover over the icon next to the Rejected label to read it too), so you can correct the proposal and send it again.
Step by step: approve or reject a proposal
On Pay and expenses > Compensation, select the plan. You can open Approval Process in the status tabs above the Employees list; each tab shows how many employees it holds. In the toolbar the Search employee... box and the Department, Position and Proposal date filters work together; sort by any column with Sort or a click on the column header.
On a row where it is your turn to approve, the ⋮ menu shows Approve and Edit.
To approve without changes, choose Approve and click Approve in the window that opens.
If you do not accept the proposal, click Reject in the same window, write the reason for the evaluator in Reason for rejection and confirm with Reject. The reason is required (at least 3 characters); without it the proposal is not rejected. The proposal moves to Rejected and the approval chain stops; the evaluator's description is kept.To change the amount, choose Edit, update the value and save. The proposal stays in approval; when the chain is complete its status becomes Revised and Approved.
Result
A proposal sent for approval gets the Approval Process status; the number in front shows the approval step.
When the last approver approves, the status becomes Approved (or Revised and Approved if it was changed).
If no approval process is defined for the employee's department, a proposal sent by the evaluator stays in Approval Process and waits for the compensation owner (COMPENSATION_MANAGE) to approve it. A proposal sent by the compensation owner is approved at once.
A rejected proposal gets the Rejected status and is listed in the Rejected status tab. A rejected proposal is not written to the salary when the period is closed.
While the plan is Closed, proposals cannot be sent for approval, approved or rejected.
The approved new salary is written to the employee's wage record when the plan owner closes the period (Close the period).
These steps send no email or notification; approvers track pending proposals on this screen.
Common problems
Symptom: The Data Entry option does not appear.
Cause: The plan is not active, or the proposal has already been sent for approval.
Solution: Check the plan status. A proposal in approval can be edited only by the approver whose turn it is.
Symptom: Save does not work and a description warning appears.
Cause: The raise percentage is outside the range of the performance score.
Solution: Write a reason in Description or bring the percentage within the range.
Symptom: The summary cards (Total Budget, Average Salary and so on) do not appear.
Cause: The cards show company-wide budget figures and are shown only to users with COMPENSATION_MANAGE.
Solution: As an evaluator you see only the employees assigned to you; ask the plan owner for budget figures.
Symptom: I see no employees in the list.
Cause: No employees are assigned to you in this plan.
Solution: Ask the plan owner to assign you in the Evaluators step.
