This article lists, in order, what to do to get PDKS ready in your company. It is done by a user with PDKS Admin; the responsibility step needs PDKS Module Responsibility Management.
Before you start
Your company has the PDKS package.
Employees have a shift plan or a work calendar. Late arrival, early leave and absence are calculated against that day's shift record, or the work calendar if there is none; with neither, nothing is calculated for that day.
You know the workplace address or its position on the map.
Step by step
Assign responsibilities. In the left menu go to Configuration > Attendance > Responsibilities. Give PDKS Base User to everyone who will scan, PDKS Manager to managers who will follow their team, and PDKS Admin to the people who will set the module up. Details: Responsibility management.
Review the settings. On Configuration > Attendance > Settings, check that PDKS module active is on in the General tab, and check the thresholds and the Payroll deduction mode in the Late Policy tab. Save with Save Settings. Details: Settings, Late tiers and payroll.
Add the first location. Open Time and attendance > Attendance management. If there is no location yet, a "Three steps left before PDKS is ready" banner appears on top of the Overview tab. Switch to the Locations tab and click Add New Location.
In the Location Details step enter the Location Name, find the address with Search Address or click the map to drop the pin, and set the Maximum Scan Distance. Leave Create a QR code automatically with the location on and click Continue.
In the QR Settings step choose the first code's name and type. Choose Dynamic if the code will be shown on a screen (tablet, monitor), Static if you will print and hang it.
In the Employee Assignment step select the employees who will scan at this location and click Save.
Place the QR code. In the location detail click the code under QR Codes; print a static code with Print and hang it, keep a dynamic code open on the screen at the entrance.
Tell your employees. Employees use the Mine > Scan QR screen in the mobile app or a browser; camera and location permission are requested on the first scan. You can share the Scanning a QR code article.
Result
Once saved, the location is listed on the Locations tab and its QR code can be scanned. Scans made after setup show up live on the Overview, land on the Records tab and reach the timesheet.
Location access rule: An employee assigned to no location can scan at every location in the company. As soon as they are given at least one location, they can scan only at the locations they are assigned to. That is why an employee's last location access cannot be removed; assign another location first.
Common issues
Symptom: An employee sees "You cannot scan" on Scan QR.
Cause: Their account has no PDKS responsibility.
Solution: Give PDKS Base User from Responsibility Management.
Symptom: No late arrival or absence is ever recorded.
Cause: The employee has no shift plan or work calendar for that day.
Solution: Define the employee's shift plan or work calendar.
Symptom: Search Address does not find the address.
Cause: The search uses OpenStreetMap data; some addresses may not be found.
Solution: Click the map to place the pin yourself. Scans are checked against the pin's position, not the address.
