Following the weekly plan, granting location access and approving devices

Explains comparing the weekly plan with actual check-ins on the Employees tab, the tabs of the employee detail, granting location access and approving, quarantining and removing devices.

This article explains how to follow the weekly plan on PDKS Management > Employees, grant employees location access and manage their devices. Users with PDKS Manager (for their branches) and PDKS Admin do this.

Before you start

  • Only active employees with PDKS Base User are listed. Someone without it does not appear here or in the absence check.

  • Device approval is needed when Device binding is on in Settings > Location & Security (Settings).

Step by step

Following the weekly plan

  1. In the left menu go to Time and attendance > Attendance management and open the Employees tab. Each day cell shows the planned shift, the first check-in → last check-out and the day status: On time, Late, Absent, On leave, Sick Report, Public Holiday, Off, Planned. Weekly Total (worked / planned) is on the right.

  2. Move between weeks with the arrows on the right of the toolbar (Previous week / Next week) and download the plan with Export Excel in the page header. Filter with the Search by employee name box and the Department, Shift and Location chips. With no sort picked the list is in the same order as People > Employee list: the most recently added employee first. Sort orders it by date added, employee or shift; Default: newest added first goes back to that order. The Excel file follows the same order.

Employee detail

  1. Click a row. The employee detail opens on the right with five tabs:

    • General Info: Contact, role and employment details; the Registered Device list at the bottom.

    • Work Schedule: This week's daily hours, break time and weekly total.

    • This Month: Attendance Rate, Total Work, Overtime (an indicator only, not approved overtime), Late Count and Last 6 Months Trend (hours).

    • Access & QR: Roles and location access.

    • Activity: The last 20 movements; QR scans and discrepancies.

Granting location access

  1. Open the Access & QR tab in the employee detail.

  2. Add a location with Grant Location Access; remove one with the ✕ (Revoke Access) button on the row. The first access given to an employee without a primary location becomes Primary automatically; the others are Secondary.

    Access & QR tab

When you add a new employee under People > Employee list, you can also pick a location in the PDKS location field; the employee is assigned to it as Primary when saved (Adding an employee).

An employee with no location access can scan at every location; as soon as they get at least one, they can scan only at the listed locations. That is why the last access cannot be removed; assign another location first.

Approving and quarantining devices

The employee's devices are listed under Registered Device on the General Info tab. A device is registered automatically on its first successful scan.

Device status

Available action

Approved

Quarantine: The employee cannot scan from any device at any location until the quarantine is lifted. Remove: Deletes the device record when the phone was changed or lost; past records are kept.

Pending approval

Approve: The device is registered to the account. Remove: The request is deleted; if the employee tries again with the same device, a new request is created.

Quarantined

Approve: Lifts the quarantine. A quarantined device cannot be removed.

When Auto quarantine is on, a device reported as faking its location or as rooted/jailbroken is quarantined immediately (the Scan QR screen and the current mobile app do not report this; see the note in Settings).

Result

  • Location access and device actions take effect immediately; the employee is checked against the new state on their next scan.

  • For an employee with no approved device left, the device of their next scan is registered automatically.

  • Every action is written to Settings > Change History.

Common issues

Symptom: You see no approve or quarantine buttons on your own device.
Cause: You cannot decide on your own device or location access.
Solution: Someone with PDKS Admin does it.

Symptom: An employee is missing from the list.
Cause: They lack PDKS Base User or are not in a branch you are responsible for.
Solution: Give the permission from Responsibility Management; check the branch scope.

Symptom: A day shows Absent in the weekly plan but there is no discrepancy.
Cause: Today's cell turns Absent as soon as the planned start passes; the absence discrepancy opens only when the absence threshold is reached.
Solution: Wait for the threshold or talk to the employee.
