Adding locations and managing QR codes

Explains defining a workplace and its scan area with the location wizard, the QR code types, showing, printing and deactivating codes, and managing a location's employees.

This article explains how to manage the workplaces where scanning happens and their QR codes on PDKS Management > Locations. Adding, editing and deleting locations and QR codes needs PDKS Admin. A user with PDKS Manager sees the locations, grants location access to the employees they are responsible for and looks at a location's records.

Before you start

  • You have PDKS Admin (for location and QR actions).

  • New QR codes take their default type and period from Settings > QR Configuration (Settings).

Step by step

Adding a location

  1. In the left menu go to Time and attendance > Attendance management and open the Locations tab. The location list is on the left; the selected location's map, counts, QR codes and scan rules are on the right.

Locations tab: list and location detail
  2. Click Add New Location on the right of the page header (shown while the Locations tab is open). You can filter the locations with the Search by location name box and the Status and City chips in the toolbar. You move through the wizard with Back and Continue; the step headers are not clickable.

  3. Fill in the Location Details step:

    • Location Name (required): The name shown on screens, in the mobile app and on the printed QR sheet.

    • Search Address: Type at least 3 letters of the address or a building/business name and pick from the list; the map moves there and the pin and city are filled in. Adding the province or district puts results there first. Each result shows its precision: Building is door/building level; with Street and Area the pin may be away from the building, so correct it as the note under the map says. The crosshair button on the map (Current Location) marks where you are standing.

    • Satellite: The Satellite button at the top right of the map switches to satellite imagery; find the building and put the pin right on it. Map switches back to the street map.

    • Coordinates (required): Set the point by dragging the pin or clicking the map. Pasting coordinates (41.008240, 28.978359), the 41°00'29.7"N 28°58'42.1"E line from Google Maps or a Google Maps share link (https://maps.app.goo.gl/...) into this field moves the pin there. Scans are checked against the pin's coordinates, not the address; put the pin in the middle of the building, near where the QR code will hang.

    • Maximum Scan Distance (required): The radius within which a scan is accepted. Default 100 m; the slider covers 10–500 m and the box accepts up to 5000 m. 50–150 m is recommended depending on the building size.

    • Status: No QR code at a Passive location can be scanned; codes, access and past records are kept.

    • Entry Time Limit: When on, the day's first check-in after this time is rejected. It does not apply to an employee whose shift starts after this time.

    • WiFi SSID (Hybrid): When set, a scan is refused when the scanning app reports a different Wi-Fi network. Note: the Teamso mobile app and browsers do not send the network name today, so this field currently does not affect scans; scans are checked by location.

    • Allow scanning outside the location: For field teams; a scan outside the area is not rejected and the distance is recorded. Not recommended.

    • Check-in without QR (by location): When on, employees assigned to this location can tap Check in or out by location on the Scan QR screen and pick it to record without scanning. The phone's position is checked against this location's area; lateness, break, device and photo rules apply as for a QR scan. A second check-in in the same shift asks the employee to confirm.

    • Automatic check-in (mobile app): When on, employees assigned to this location who turn automatic check-in on in the Teamso mobile app (with explicit consent) are checked in on entering the area and out on leaving it, even with the app closed. Check-in is only recorded around a planned shift and phones watch a radius of at least 100 m. Not available while selfies or the IP restriction are required. Rules: Checking in by location and automatic check-in.

    • Create a QR code automatically with the location: When on, the next step asks for the first QR code's settings.

Scan rules: check-in without QR and automatic check-in
  4. In the QR Settings step (shown only for a new location with the automatic QR on) choose the code's name, type and Refresh Interval.

  5. In the Employee Assignment step select the employees who get scan access at this location and click Save. This step only adds access; to remove access, click the location's Active Employees count.

QR code types

Type

How it works

Where it fits

Dynamic (recommended)

The code changes by itself on a screen at the period you choose and is signed. A scanned code is accepted only for the Code validity time; the same employee cannot use the same code twice. Taking a photo and scanning it later does not work.

A tablet or monitor at the entrance

Static

The code never changes; you print and hang it once. A photo of it works too; its security comes from the location area and (when on) device binding.

Places where you cannot put a screen

Note: The former Time Window type works the same as dynamic, so it is no longer offered for new codes. Codes created with it keep working; when editing, you can switch the type to Dynamic.

Adding, showing and printing a QR code

  1. Use Add QR under QR Codes in the location detail to add another code. You can open a separate code for each door or entrance (e.g. Main Entrance, Warehouse Door).

  2. Click a code to show it on screen. The Download QR and Print buttons are here. A dynamic code renews itself as long as the window stays open.

    QR code display window
  3. The code row's menu offers Edit QR, Deactivate / Activate and Delete. A deactivated code cannot be scanned or shown; a deleted code does not come back and its printed copies stop working too.

  4. To print the codes of several locations at once, tick the locations in the list and click Bulk print QR; every active code is printed on its own page.

Screenshot protection: When Screenshot prevention is on in Settings > QR Configuration, dynamic codes cannot be downloaded or printed and are skipped in bulk printing; the code is hidden when the tab goes to the background. Create a separate static code for paper.

Managing a location's employees

  1. Click the location's Active Employees count or Manage Employees in the location menu (⋮). The Location Employees window opens.

  2. Grant access with Add Employee. From the row menu choose Set as Primary Location or Revoke Access. The primary location is the one the mobile app shows when it opens.

Other location actions

The location menu (⋮) holds Add QR, Edit Location, Manage Employees, View Records and Delete Location. View Records shows the location's newest movements of the last 7 days; View all opens the Records tab filtered to this location.

Result

  • A saved location appears in the list; its active QR codes can be scanned straight away.

  • An employee who is granted location access can scan only at the locations they have access to.

  • Location, QR code and access changes are written to Settings > Change History.

Common issues

Symptom: Deleting a location shows "{n} employees are assigned to this location. Delete it anyway?"
Cause: Employees are assigned to the location. Employees with no other location cannot scan until a new location is assigned.
Solution: Give them another location first or confirm knowingly. Bulk delete skips locations with employees; delete those one by one.

Symptom: An employee inside the building gets "You are too far from the expected location".
Cause: GPS drifts indoors and the radius is small.
Solution: Increase the Maximum Scan Distance or set an Extra location radius in Settings > Location & Security.

Symptom: A dynamic code cannot be printed.
Cause: Screenshot prevention is on.
Solution: Add a static code for paper.

Symptom: As a manager you do not see Add New Location.
Cause: Location and QR actions need PDKS Admin.
Solution: Ask your PDKS admin.
