Reviewing check-in records, adding manual records and exporting

Explains filtering every scan on the Records tab, viewing the scan detail and scan photo, adding a manual record for an employee who could not scan and exporting to Excel or PDF.

This article explains how to review scans, add manual records and export them on PDKS Management > Records. Users with PDKS Manager and PDKS Admin do this. A manager sees only the records of the employees they are responsible for.

Before you start

  • The payroll period of the day is open (for manual records). A manual record cannot be added to a day whose payroll period is closed.

Step by step

Reviewing records

  1. In the left menu go to Time and attendance > Attendance management and open the Records tab. Every successful, late and rejected scan is listed; the default date range is today.

  2. The list is in one content card. The All, Success, Late and Rejected tabs at the top split the scans by status. The toolbar has the Search by employee name box and the Period (a range other than today; clearing it goes back to today), Location and Type chips; the filters and the search apply together and Clear all removes them. If you came from a counter on Overview, that filter shows as the Overview chip and its × removes it. Order the list with Sort on the right or by clicking a column header: date, type, distance or status; the pager is at the bottom of the card.

  3. The counts on the tabs cover every scan in the selected range and filters. Out-of-area values in Distance are red; in Device, hand-entered records carry the Manual chip and scans with detected fake location a red triangle.

  4. Click a row. The Scan Detail window shows the action, time, source (Mobile QR scan, By location (no QR), Automatic check-in (location area), Manual entry, Automatic), reject reason, the location area and the scan point on a map, and device details. If a scan photo was taken while photo verification was on, view it with Show photo; every view is written to the audit log.

Adding a manual record

Add a movement that could not be scanned (forgotten phone, broken code, field work) on the employee's behalf.

  1. Click Manual Record on the right of the page header (shown while the Records tab is open). The Add Manual Record window opens.

  2. Select the Employee, enter the movement (Check-in, Check-out, Break Start, Break End) and the date and time. A future time cannot be chosen.

  3. Optionally select the location (no area check is made).

  4. Write a Reason (required, at most 300 characters) and click Save.

Exporting

  1. Click Download as Excel or Download as PDF in the page header.

  2. The file contains every record in the current filter and date range (regardless of paging): employee, action, date, time, location, distance, device, status, reject reason and fake GPS flag. At most a 92-day range and 50,000 rows can be downloaded.

Result

  • A manual record reaches the timesheet and payroll like a real scan: a late check-in can open a Late Arrival and an early check-out an Early Leave discrepancy; a check-in closes that day's absence discrepancy and a check-out closes the "check-out not scanned" warning automatically. QR, area, device and QR lock checks do not apply.

  • A manual record cannot be edited or deleted later. Hover the Manual chip in the list to see the reason and who added it.

  • Every export and manual record is written to the audit log (Settings > Change History).

Common issues

Symptom: The manual record says "The same movement is already recorded at this time".
Cause: The same movement exists for the same employee within the same minute (±1 min).
Solution: Check the time; if the record exists, no new one is needed.

Symptom: The manual record is not saved and a payroll period warning appears.
Cause: The payroll period of that day is closed.
Solution: Have the payroll period reopened (Payroll).

Symptom: You cannot enter a manual record for yourself.
Cause: A manager cannot enter records for themselves.
Solution: Ask someone with PDKS Admin.

Symptom: "An export covers at most 92 days; narrow the date range."
Cause: The selected range is too wide.
Solution: Narrow the date range.
