Following daily attendance on the Overview dashboard

Explains what the counters on the Overview tab of PDKS Management count, the charts, the live feed and deciding from pending notifications.

This article explains how to follow the day on PDKS Management > Overview. Users with PDKS Manager and PDKS Admin see this screen. A manager sees only the employees of the branches they are responsible for; an admin sees the whole company.

Before you start

  • At least one location exists (First setup). Without any location a setup banner appears on top of the tab.

  • Employees have a shift plan; Not started and No-show are calculated from it.

Step by step

  1. In the left menu go to Time and attendance > Attendance management. The page opens on the Overview tab. Counters and the live feed refresh every 30 seconds and the charts every minute; refresh by hand with the refresh button at the top right.

  2. Read the eight counters:

    • Came today: People with at least one accepted check-in today (QR or manual). Those who have since checked out count too.

    • Inside now: People who checked in and have not checked out, including those on break.

    • Active now: People inside and not on break.

    • On break: People who started a break and have not ended it.

    • Not started: People whose shift has started but who have not checked in yet. Includes the No-show ones.

    • No-show: People whose shift has started, whose Absence threshold (default 240 min) has passed and who still have no check-in.

    • Late arrival: People whose first check-in today came after the tolerance period (default 15 min).

    • Left early: People who checked out earlier than the planned end minus the early leave tolerance (default 15 min).

Not started and No-show count only active employees with PDKS Base User; people with no plan today, an approved leave covering the whole day, or a public holiday are not counted.

  3. Click a counter. The window lists the people and the day's check-in / check-out movements. View all opens the Records tab with this filter.

  4. Look at the charts: Today's Movements by Hour (accepted check-ins and check-outs per hour), Last 7 Days Attendance (people who came and who were late each day), Current Status Breakdown (active, on break, checked out, no-show).

  5. The Live Feed on the right shows the latest 10 scans; rejected scans are marked red, late check-ins orange.

  6. Pending Notifications lists undecided excuses and open discrepancies (the newest 5 of each type). Click a row to open Notification Detail. Write a Decision Note and choose Approve Excuse / Reject Excuse for an excuse, or Approve, Reject, Add Note or (for an open late arrival, early leave, long break or absence) Request Excuse for a discrepancy. The full list is on the Discrepancies tab.

Result

A decision made from the dashboard works exactly like one made on the Discrepancies tab: the discrepancy's status changes, an excuse decision is sent to the employee, and a rejection reaches payroll according to the company's deduction mode (Discrepancies).

Common issues

Symptom: "Cannot reach the server, figures may be out of date" appears on top of the page.
Cause: The server could not be reached; the screen shows the last successful figures.
Solution: Check your connection and press the refresh button.

Symptom: No-shows of a night shift do not appear on the No-show card.
Cause: The absence of night shifts whose threshold passes midnight is not shown on this card.
Solution: Follow those absences on the Discrepancies tab.

Symptom: An employee on leave shows as No-show.
Cause: The leave was entered later or does not cover the whole day.
Solution: You can approve the absence discrepancy that was opened.
