Checking in, out and taking breaks by scanning a QR code

Explains scanning check-in, breaks and check-out from the Scan QR screen with a phone or a computer, the result screens and what to do when a scan is rejected.

This article explains how to record check-in, breaks and check-out on the Scan QR screen. Scanning is done by employees with PDKS Base User; users with PDKS Manager and PDKS Admin can scan their own check-ins on the same screen.

Before you start

  • Your account has a PDKS responsibility (otherwise the screen shows "You cannot scan").

  • The Teamso mobile app on your phone is up to date, or you are signed in to teamso.com in your phone's or computer's browser (Mobile app).

  • You can reach the QR code at the workplace. If check-in without QR is on at your location, the screen also shows Check in or out by location; to record without scanning, see Checking in by location and automatic check-in.

Step by step

  1. Tap Check in or Check out in the day panel on the home page: the camera opens straight away for the next action; continue with step 4. To see the screen first, open Mine > Scan QR in the left menu. The screen shows today's shift (Today's Shift), the Location Status and your check-in and check-out times for today.

  2. Check the Location Status. On first use the app or browser asks for location permission; you cannot scan without it.

    • Green In range: You are inside the area.

    • Orange Out of range: You are outside the area; the scan may be rejected, move closer. The button is not locked; the decision is made when you scan.

    • When the reading is coarse, "GPS accuracy ±… m" is shown next to the distance; if the area is within your phone's margin of error, the scan is accepted.

    • Red: Your location cannot be read or permission is missing. Follow the step on the card and reload the page.

  3. Tap the large button at the bottom. It picks the next action itself: Scan QR to check in or Scan QR to check out. Camera permission is requested the first time.

  4. Point the camera at the QR code; it is read as soon as it is inside the frame and the record is sent. If the code changes on a screen, scan the current code on the screen. If your position is coarse or old at that moment, "Code read, refining your location…" appears and a sharper position is awaited for a few more seconds at most.

  5. Read the result:

    • The Check-in Successful! screen shows the time, location, distance, record type and estimated exit, with "Your timesheet entry was created automatically."; it returns to the home screen after a few seconds. If Send Excuse appears on the result, the record was taken but a late arrival or early leave was passed to your manager; you can send your explanation here (Sending an excuse).

    • On a Rejected screen the reason is written under the title. Fix the problem and scan again with Try Again, or go back with Home.

  6. Break: After check-in a Start Break button appears; when you come back, scan the break end with End Break.

  7. Check-out: At the end of the day check out with Scan QR to check out.

Scanning from a computer

On a computer the same screen opens with a large clock, the day status (Waiting for check-in, At work, On break, Day completed) and a shift progress bar. The scan uses the computer's camera.

Result

An accepted scan is recorded as Success or Late and reaches your timesheet automatically. A rejected scan does not reach the timesheet; it shows on your manager's screen with its reason. Rejections caused by distance, fake location, the device or the QR lock also reach your manager as a discrepancy.

Good to know

  • Duplicate scan: If you scan the same action again within a short time (default 60 s), the second one is ignored and "This action was already recorded a moment ago." is shown. This is not an error.

  • Early check-in: A check-in can be scanned at most 30 min (company setting) before the shift starts; earlier is rejected with a message such as "Too early. You can check in from 08:30". The rejection screen shows Shift start and Earliest check-in; trying again before that time does not help.

  • No internet: The scan is kept on the device and sent when the connection returns or when you reopen the page. A scan waiting longer than 15 minutes is not sent; you are asked to scan again. Scans that need a photo cannot be kept.

  • Photo verification: If your company turned it on, a photo is taken with the front camera on every scan; if no photo can be taken, the scan is not sent.

  • Device binding: If your company turned it on, your account is bound to the device (phone, or the browser on a computer) of your first successful scan. A scan from another device is rejected and an approval request goes to your manager. Using another browser or clearing browser data also counts as a new device.

  • If break tracking is required: You cannot check out while a break is open; End Break first.

  • Approved leave day: On a day fully covered by your approved leave you can still check in; the scan is recorded and "You have an approved leave today; your check-in was recorded but the leave was not cancelled." is shown. Nothing counts as late or absent that day. If you will not use the leave, ask your manager to cancel it.

  • Lock after lateness: If you are later than the QR lock period (usually 60 min), the check-in is not accepted and you are asked to send an excuse. The rejection screen shows the Shift start the lateness was measured from and the Lateness in minutes. Once your manager approves, you can scan again in the same shift.

Common issues

Symptom: The location card says "No location assigned" and "Ask your manager to assign you a PDKS location.", and you cannot scan.
Cause: No PDKS location has been assigned to you yet.
Solution: Ask your manager or HR to assign you a PDKS location; once it is assigned, you can scan from the same screen.

Symptom: "Location permission denied" or "Location is off in your computer settings".
Cause: Location permission is off for this site in the browser, or for the browser in the operating system.
Solution: Turn on the setting named on the card and reload the page.

Symptom: The mobile app shows "The app cannot get your location" or "The app cannot use the camera".
Cause: The app has no location or camera permission in the phone settings.
Solution: Update the Teamso app from the store and allow it in the phone settings. If it still fails, open teamso.com in the phone's browser and scan there.

Symptom: "You are too far from the expected location".
Cause: You scanned outside the location's area.
Solution: Move closer to the QR point and try again; indoors, near a window works better. If the GPS Accuracy on the rejection screen is high (e.g. ±300 m), the phone's position is coarse: check that location is on with "Precise location". If you keep showing as far away while inside the building, the location's pin may be in the wrong place; tell your manager (Managing locations and QR codes).

Symptom: "This device is not registered to your account; an approval request was sent to your manager".
Cause: Device binding is on and you scanned from a new device.
Solution: Once your manager approves the device, scan again with the same device and browser. You are not counted late while waiting; lateness is measured from your first attempt.

Symptom: The Shift start on the rejection screen is not your real shift (e.g. you start at 11:00 but it says 09:00), so you get "Too early" or the QR lock.
Cause: PDKS measures early check-in and lateness only from the Shared Shift plan; draft shifts do not count. Without a shared shift for that day the company's working calendar hours are used.
Solution: Tell your manager the time on the screen; once your shift plan is shared, your scans are measured from the right time. If you were locked, say so in your excuse.
