Checking in by location and automatic check-in

How to check in and out by picking a location instead of scanning the QR code, how to turn automatic check-in on and off in the mobile app with your explicit consent, and the rules automatic records follow.

If your manager allows it at a location, you can record your check-in and check-out without scanning the QR code, in two ways:

  • Check in or out by location: with the app or browser open, you pick the location and tap the button. Your phone's position is checked against the location's area, just like a QR scan.

  • Automatic check-in: you turn it on once in the Teamso mobile app; even with the app closed, you are checked in when you enter your workplace's area and checked out when you leave it.

Employees with PDKS Base User use this screen; users with PDKS Manager and PDKS Admin can use it for their own records too.

Before you start

  • Check-in without QR (by location) or Automatic check-in (mobile app) is on at your location (your manager turns it on: Locations and QR codes). When it is off, these options do not appear on the Scan QR screen.

  • Location is on on your phone and Teamso (or your browser) has location access. In the Android app, the first time the permission is needed a Location use window first explains what your location is used for; Continue lets the phone ask for the permission, Not now closes it without asking.

  • For automatic check-in: the current version of the Teamso mobile app is installed (Mobile app) and you have a planned shift today.

Step by step

Checking in and out by location

  1. Open Mine > Scan QR from the left menu and tap Check in or out by location under the large button.

  2. On the Record by location screen, pick your location. Each location shows its state: Inside the area means the record is accepted; a distance (e.g. "350m away") means you are outside the area, move closer. A location you are inside is picked for you.

  3. Tap the button at the bottom. It picks the next action itself: Check in or Check out. While at work, Start break / End break also appears.

  4. If you check in a second time in the same shift (for example after leaving for lunch), Repeated check-in asks you first. Tap Yes, check in for a new check-in, or Cancel if you tapped by mistake. Nothing is recorded until you confirm.

  5. The result screen is the same as for a QR scan: Check-in Successful! or Check-in Rejected with the reason (Scanning a QR code).

Turning automatic check-in on

  1. Open Mine > Scan QR in the Teamso mobile app. On the Automatic check-in card, tap Turn on automatic check-in. In a browser the card only says "Works in the mobile app", in an older version of the app "Update the app"; turning it on happens in the current version of the app (you can turn it off from a browser too).

  2. The box at the top of the Explicit consent for automatic check-in window says that Teamso collects your location for automatic check-in and check-out even when the app is closed or not in use. Read the notice under it. If you agree, tick the box and tap Accept and continue. The button stays off until the box is ticked.

  3. Your phone asks for location access. Automatic check-in only works with Always (on Android "Allow all the time"); if the phone takes you to settings, choose it there and return to the app. Allow notifications too; every automatic record sends you one.

  4. The card turns On and lists the locations it watches. From now on, even with the app closed, you are checked in on entering the area and checked out on leaving it.

  5. To stop, tap Turn off on the card. The phone stops watching your location at once and your consent is withdrawn. Signing out of the app turns automatic check-in off as well.

Result

  • A record made by location has the source By location (no QR), an automatic one Automatic check-in (location area); both reach your timesheet like a QR scan. Lateness, early leave, break, device binding and fake location rules apply unchanged.

  • An automatic record sends a notification such as "Checked in 08:52 · Head Office" to your phone. The card's Recent automatic activity lists the latest records and, when nothing was recorded, why.

Rules of automatic check-in

  • Check-in time: check-in is only recorded from the company's early entry allowance (usually 30 min) before your planned shift until its end. If you arrive earlier, the arrival waits; if you are still in the area then, you are checked in automatically and get an app notification. Leaving in the meantime cancels the waiting check-in.

  • No plan: with no planned shift today, on a public holiday or on a full-day approved leave, no automatic check-in is recorded; check in by location or QR if needed.

  • Check-out: if the company turned on Check out on leaving the area (automatic check-in), leaving the area checks you out. If you leave within the first 10 minutes after check-in (the car park, a forgotten bag), the check-out is not recorded at once; if you are still away when the 10 minutes are over, it is recorded at the time you left. Leaving an area other than the one you checked in at is ignored. Leaving the area during a break you started is not a check-out. Walking from one location with automatic check-in to another records no check-out from the first; leaving the second one does. On Android the check-out is sent a few minutes after you leave but recorded at the time you left; coming back within that time records nothing.

  • Late delivery: if your phone is offline or asleep, the event is sent once it is back online. A check-in arriving more than 30 minutes late is not recorded; record it from the app as the notification says. A check-out arriving up to 12 hours late is still recorded at the time you left, as long as nothing else was recorded in between.

  • Watched area: phones watch an area of at least 100 m radius; if the location's read distance is smaller, automatic check-in is accepted up to 100 m.

  • When it is not available: if your company requires a selfie with each scan, or limits scans or Teamso access to its own network, automatic check-in cannot be used; the card says so.

  • Privacy: your position is only processed when you cross the area's edge; you are never tracked continuously and no route is kept. The automatic activity log is deleted after 90 days.

Common problems

Symptom: Check in or out by location does not appear.
Cause: Check-in without QR is off at your locations.
Solution: Scan the QR code, or ask your manager to turn the option on at the location.

Symptom: The location screen says "Location permission denied" and the button is off.
Cause: The app or browser has no location access.
Solution: In the mobile app, use Open settings to give Teamso location access, then tap Try again. In a browser, turn on the setting the card names.

Symptom: The automatic check-in card says Permission needed.
Cause: The location permission is not Always, Precise Location is off on an iPhone, or the phone's location services are off.
Solution: Tap Open settings, set Teamso's location to Always (on an iPhone also turn on Precise Location) and return to the app. The card refreshes itself.

Symptom: The card says Stopped on this phone.
Cause: The app was reinstalled, or you signed out and in again.
Solution: Tap Restart and accept the explicit consent again.

Symptom: The card says On on another phone.
Cause: Automatic check-in is on on another phone of yours; it runs on one phone at a time.
Solution: Tap Turn on for this phone to use it here; it turns off on the other phone.

Symptom: I arrived at work but was not checked in automatically.
Cause: You are outside the shift window, you have no planned shift today, or your position could not be confirmed inside the area.
Solution: See the reason under Recent automatic activity on the card; check in by location or QR if needed.
