Creating and tracking a request

Explains how, as an employee, you create a request by choosing a request type and adding your message and file, and where you see the request's status and response.

This article explains how to create a request and follow its status. Employees with the Add Request List permission do this.

Before you start

  • Your company must have at least one active request type (Creating request types).

  • The file you attach must be PDF, JPG, JPEG or PNG and at most 20 MB.

Step by step

  1. In the left menu, go to Mine > My requests and click Add Request. You can also open the same window with Create > Request in the left menu.

    Requests screen
  2. Fill in the fields in the window that opens:

    • Request Type (required): Choose the category of your request. Only active types are listed; if there is only one, it is selected automatically.

    • Request Message (required): Describe your request. You can write up to 500 characters.

    • URL: Optionally add a related link.

    • Files: Optionally upload one file (PDF, JPG, JPEG, PNG; up to 20 MB).

    Add request window
  3. Click Save.

Result

Your request is added to the Requests list and you receive an email and an in-app notification. If the request type has an approval process, the request moves to In Approval Process; you are informed each time it passes a step. When the approval process is complete, the request becomes In Responsible Approval and the request type's responsible employee writes an answer. When the request is Approved or Rejected, you receive an email and an in-app notification.

To see the request details and the Request Response written by the responsible employee, choose Detail from the request's Actions menu on the Requests screen.

The Mine > My requests screen lists only your own requests. The tabs above the list (All, Pending, Approved, Rejected) split your requests by status and show how many each holds. The search box searches the request type; the Request type and Date filters narrow the list, and Sort or a click on a column header sorts it. Clear all removes the search and the filters together.
