Overtime settings and visibility rules

Explains the overtime multipliers, the daily working hours used for leave conversion, and the visibility rules that decide whose overtime records employees can see.

This article explains the settings used in overtime conversion and the visibility rules of the overtime board. The Overtime settings screen is visible to users with OVERTIME_ADMIN. Visibility rules are on the Company Settings screen: viewing them requires the company admin role or the COMPANY_PAYMENT_READ permission, changing them requires the company admin role or the COMPANY_PAYMENT_MANAGE permission.

Before you start

  • Your company's overtime pay policy (rates for working days, weekly rest days and public holidays) should be decided.

Step by step

Multipliers and leave conversion

  1. In the left menu, go to Configuration > Overtime > Settings.

    Overtime settings screen
  2. In the Pay multipliers section, click the multipliers to use on the Working day, Weekly rest day and Public holiday rows. A selected multiplier shows a check mark; click it again to clear it. Each row accepts several multipliers; the options are the 10 multipliers that have a payroll equivalent (x0.5 to x4). Every row must keep at least one multiplier, otherwise Select at least one multiplier. appears under the row. The multipliers you select are listed in groups in the Multiplier list of the conversion window. On first opening the defaults are x1.5 for working days and x2 for weekly rest days and public holidays.

  3. In the Conversion to leave section, select one of the Daily working time options: with the default values 7.5 hours (6 working days a week), 8 h 20 min (5.5 working days a week) or 9 hours (5 working days a week). The line "Example: after the multiplier, … of overtime makes 1 day of leave." below shows the effect of your choice.

  4. When you change something, You have unsaved changes appears at the top. Click Save; the changes in both sections are saved together and the status turns to All changes saved. Click Discard to undo your changes. If you try to leave the page without saving, the screen asks you to confirm.

Visibility rules

By default, every employee sees only their own overtime records.

  1. In the left menu, go to Configuration > Company settings and select Visibility Settings in the Modules & Display group.

  2. On the Overtime Visibility row, click Detail.

    Visibility Settings cards
  3. Click the edit icon on the employee's row, or select several employees and use Bulk Edit. A user with only COMPANY_PAYMENT_READ does not see these buttons and can only review the rules with Detail.

  4. Choose the Visibility Mode: Self, Branch, Department, Position, Manager (only employees they directly manage) or All. For branch, department and position modes, select at least one target or tick an option such as Include own branch.

  5. Save.

Result

  • A multiplier change applies to new conversions; already converted records do not change.

  • The daily working time in Conversion to leave is used to calculate days when converting to leave (Converting overtime); days already converted stay as they are.

  • The visibility rule affects the board and the summary cards together. Company admins and OVERTIME_ADMIN see all records of the people in scope. Other users see only the Approved and Rejected records of others; they cannot see converted records. Requests waiting for their approval are always shown.
