This article explains how to give a benefit to one or more employees on the All Benefits screen. Users with the BENEFIT_MANAGER permission do this. The benefit you save flows into the payroll of the months you select automatically.
Before you start
The benefit type you want to give must be selected under Settings > Type Management (Benefit settings).
The payroll months the benefit will be paid in must not be closed.
If you are giving benefits to many employees with different amounts, bulk entry via Excel is faster.
Step by step
In the left menu, go to Pay and expenses > Benefits.
Click the Benefit card at the top.
Click Add Benefit. The wizard has three steps: Employee Selection, Type Selection, Enter Details.
In Employee Selection, select the employees and click Next.
In Type Selection, pick the type in Benefit Type and click Next. Child Aid, Birth Aid, Marriage Aid and Death Aid are marked "Single employee only"; they can be selected only when one employee is selected and appear greyed out otherwise.
In Enter Details, fill in the fields:
Net/Gross: whether the amount is net or gross. Gross can be chosen only for cash payments.
Payment Method: Cash, In-Kind or (for meals) Meal Card (Ticket). Methods the type does not allow are not listed.
Payment Period: with Once, enter a Payment Date; the benefit goes into that month's payroll. With Monthly, tick the months to pay in Select Period. Closed payroll months cannot be selected.
Amount and Currency: you can choose Turkish Lira, Dollar, Euro or Pound. In-kind payments, meal cards and private insurance are fixed to Turkish Lira.
Description (Optional) and, if needed, a document: some types show Upload benefit related file.
Click Save.
Type-specific fields
Meal Allowance and Commuting Allowance are entered Monthly only. If you selected one employee, a Working Days field appears for each month; the value comes from the work calendar and you can change it (max. 30 days). If you selected several employees, working days are taken from each employee's timesheet for the payroll period.
Child Aid lists the children in the employee's family information. Tick the children who receive the aid and enter the Amount per Child; if no child is recorded, add one on the same screen with Add Child. The exemption is calculated in payroll for each child separately, based on age, education and employment status.
Private Insurance asks for Insurance Type, Insurance Payer, Insured Person and Payment Period.
Result
The record is added to the Benefit list and automatically included in the payroll calculation of the months you selected. The employee sees only their own record on the same screen. This action sends no email or notification.
To change a record, choose Edit from the ⋮ menu at the end of the row; to delete it, choose Delete. When you tick several rows, a Bulk Delete option appears at the bottom of the screen. The employee cannot be changed when editing; create a new record for another employee.
