Running, sharing and exporting a saved report

How to find saved reports on My Reports, run them with current data, share them with teammates, export them to Excel and delete them.

This article explains how to run a saved report on My Reports, export its result to Excel, share it and delete it. View Report List or Add Report List is enough to open a report and export it to Excel. A report can be deleted only by the person who saved it (with Add Report List) or by a user with Report Module Responsibility Management.

Before you start

Step by step

  1. From the left menu go to Reports > My reports. The list shows every report saved in your company with its Report name, Created by and Created date. For reports saved before this feature, Created by shows a dash (-).

  2. To find a report, type in Search by report name.... Sort the list by Report name, Created by or Created date, ascending or descending, with the Sort menu on the right or by clicking a column header; a third click on the same header removes the sort and the newest report comes first again.

  3. Click the report's row or its View button. The report runs with current data and the result opens in a large window.

  4. Work with the result:

    • Words you type in Search results... are searched in all columns; the record count updates, e.g. "12 / 40 records".

    • Untick unwanted columns in the Columns list; bring them back with Show all columns.

    • Click a column header to sort.

  5. Click Download Excel. The file downloads as .xlsx named after the report.

    • Only the columns visible on screen and the rows matching your search are written, in the on-screen sort order.

    • Yes/No and coded fields (e.g. leave status) are written as text, dates as dates.

  6. Close the window with Close.

Sharing a report

Saved reports are shared company-wide. Every user who can open My Reports sees and can run every report saved in the company. To share a report:

  1. Open the report with View.

  2. Copy the link from your browser's address bar and send it to your teammate. If they have access to My Reports, the link opens the same report directly.

Note: To share with someone who doesn't have access, send the file you get with Download Excel. A report runs on all company data; no branch scope is applied. A report that reads the salary and payroll tables (salary, payroll, payroll sheet) opens only for users with View Salary or Payroll Manager Permission.

Deleting a report

  1. In the list, click the bin icon (Delete) on the report's row. The icon appears only on reports you saved (or on every report if you have Report Module Responsibility Management).

  2. In the Delete Report window click Delete. This can't be undone and the report is deleted for everyone.

Result

  • A report runs again every time it is opened; what you see is current data.

  • The Excel file downloads to your computer and Excel file downloaded. appears.

  • A deleted report disappears from every user's list in the company.
