This article explains how to build your own report from company data with the Generate Report wizard. The wizard has four steps: Tables, Columns, Conditions (optional) and Result. Users with Add Report List or Report Module Responsibility Management do this. The salary and payroll tables are listed only for users with View Salary or Payroll Manager Permission.
Before you start
You need Add Report List (Reports module overview).
Decide what you want to see. Example: "first name, last name and branch name of employees in the Istanbul branch".
Step by step
From the left menu go to Reports > My reports and click Generate Report at the top right. If no report has been saved yet, you can also use Create the first report in the middle of the page.
In the Tables step open Report tables and pick the tables you want to report on (e.g. Employee and Branch). Type in the search box to find a table.
Once you pick a table, only tables related to it can be added; the others show a lock icon.
If you pick several tables, their information is combined in a single report.
Click Next.
In the Columns step there is a separate field for each table. Tick the columns you want in the report (e.g. Name, Surname, and Name from the Branch table).
Columns are added to the report in the order you select them. To change the order, untick the columns and select them again in the order you want.
Fields with a lock icon are stored encrypted; in conditions they can only be filtered by exact match (Contains / Starts With are unavailable).
Click Next.
The Conditions step is optional. To narrow the report, click Add First Condition (then Add Condition for more) and for each condition set:
Column: the field to filter (e.g. Branch › Name),
Operator: the comparison (e.g. Equals, Contains, Between, Is Null),
Value: the value to look for (e.g. Istanbul). Some fields offer a list to pick from; Is Null / Is Not Null need no value.
If you add several conditions, choose All must match (AND) or Any may match (OR) under How should conditions combine?. The Summary box above shows your conditions as a plain sentence.
Click Generate Report. The report runs with current data and the Result step opens.
Review the result:
Search the rows with Search results....
Temporarily hide columns from the Columns list; bring them back with Show all columns.
Click a column header to sort.
Download what you see with Download Excel.
To run the report again later, click Save Report, enter a descriptive Report name (e.g. "Active employees - Istanbul") and click Save.
Use Edit Conditions to change the conditions and try again, New Report to start over, or Close to close the window.
Result
When you save, Report saved. and a "Saved as ..." note appear, and the button changes to Saved.
The report is added to My Reports. A saved report keeps its table, column and condition choices and runs with current data every time it is opened.
Saved reports are shared company-wide: everyone who can open My Reports sees the report and can run it. Your name appears in the Created by column; only you or the module owner can delete the report.
If you don't save the report, your choices are lost when you close the wizard.
Columns that show when a record was made (Created At, Salary › Entry Date and the like) are shown in Turkey time on screen and in Excel. Salary › Price Change Date is the day the salary takes effect; Salary › Net/Gross shows whether the salary was entered as net or gross.
Common problems
Symptom: Next is disabled and shows "The selected tables are not related to each other. Remove the unrelated tables."
Cause: There is no relation defined in Teamso between the tables you picked.
Fix: Remove the unrelated table or also pick a table that links them (e.g. Employee).
Symptom: The warning "condition(s) incomplete. Complete or remove them." appears.
Cause: A condition row has an empty column, operator or value.
Fix: Complete the row or delete it with Remove Condition.
Symptom: The result is empty.
Cause: No record matches the conditions.
Fix: Use Edit Conditions to relax or remove conditions and run again.
Symptom: "The report took too long and timed out."
Cause: Too many tables or records were selected.
Fix: Add conditions to narrow the result or pick fewer tables.
Symptom: The same employee appears on several rows.
Cause: With several tables selected, a record repeats once per matching row (e.g. one row per leave).
Fix: This is expected. For one row per employee, pick only the tables you need.
Symptom: I cannot find the employees' address in the report.
Cause: The address is not on the Employee table; it is stored with the identity details in the employee's registry.
Fix: In the Tables step select Employee Identity together with Employee; in the Columns step tick Residence Address under Employee Identity. This is the same field as Residence Address in Registry Information, and conditions can use it with Contains too (e.g. to filter by district).
Symptom: A cell shows "Deleted record".
Cause: The record the row points to (e.g. a branch) was deleted.
Fix: Correct the data in the related module or exclude the row with a condition.
