What this module does
The Reports module lets you build reports from Teamso company data (employees, branches, leaves, expenses, inventory, payroll tables and more) by picking the tables and columns you need. You can save a report under a name, run it again with current data at any time from My Reports, and export it to Excel.
Roles and permissions
Reports permissions are granted as responsibilities. For the steps, see Responsibility management.
Role | Permission | What they can do |
Admin | Report Module Responsibility Management (DOCUMENT_MANAGE) | Opens the module's Manage Permissions screen; creates, saves and runs reports and deletes any report in the company. |
Manager / report author | Add Report List (DOCUMENT_ADD) | Opens My Reports, builds new reports with Generate Report, saves them and deletes only the reports they saved. |
Report reader | View Report List (DOCUMENT_READ) | Opens My Reports, runs saved reports and exports them to Excel. Cannot create or delete reports. |
Note: Reports run on all company data; they are not narrowed by branch or team scope. Give report-building permission only to people who may see all company data. The salary and payroll tables (salary, payroll, payroll sheet) are listed only for users with View Salary or Payroll Manager Permission, and a saved report that reads them opens only for those users.
Before you start
The Reports module must be enabled for your company.
The person building reports needs both View Report List and Add Report List.
The data you want to report on must already be in Teamso (e.g. employee records, branches, leave records).
First-time setup
From the left menu open Configuration > Reports > Responsibilities and grant the permissions to report authors.
The report author goes to Reports > My reports from the left menu.
They build the first report with Generate Report and save it with Save Report (Creating a custom report).
Everyday flows
Report author: picks tables, columns and optional conditions in the Generate Report wizard, reviews the result and saves it. Details: Creating a custom report.
Report reader: runs a report from My Reports with View, searches the result, hides columns and exports with Download Excel. Details: Running, sharing and exporting a saved report.
Module reports: ready-made reports of modules such as Leave and Payroll live in that module's menu. Details: Finding module reports.
Statuses and what they mean
Saved reports have no approval or status flow. A report runs again every time you open it, so the data on screen is always current. Messages you may see when opening a report:
On screen | Meaning |
Running the report... | The report is being built with current data. |
No records found for this report. | The report ran but no record matches its conditions. |
This saved report can no longer be run; the table or column structure may have changed. Re-create and save it. | A table or column used in the saved report no longer exists. Delete and rebuild the report. |
Report not found. It may have been deleted. | Another user deleted the report. |
This report reads salary or payroll data; View Salary or Payroll Manager Permission is required to open it. | The report contains salary data and you are not allowed to see salaries. |
Notifications
The Reports module sends no email, SMS or in-app notification. When you save or delete a report or download an Excel file, only a short message appears on screen.
Mobile differences
The Teamso mobile app opens the web screens, so My Reports and Generate Report work the same on mobile. On narrow screens the wizard content scrolls as one block and the buttons stay pinned at the bottom. For wide tables we recommend a computer. See Mobile app.
Common mistakes and FAQ
I can't see the Reports menu. You have none of View Report List, Add Report List or Report Module Responsibility Management. Ask the module owner.
The Generate Report button is missing. Only users with Add Report List or Report Module Responsibility Management see it.
Can my teammates see the report I saved? Yes. Saved reports are shared company-wide: everyone who can open My Reports sees and can run every report saved in the company. The Created by column shows who saved a report; only you or the module owner can delete it. Details: Running, sharing and exporting a saved report.
Can I edit a saved report? No. The tables, columns and conditions of a saved report can't be changed. Create and save a new report, then delete the old one.
A record appears several times. When you select more than one table, a record may repeat once per matching row (e.g. one row per leave of an employee).
