This article explains how to create a hiring request for a position in the Hiring Requests tab, send it for approval, and respond to it as an approver. Manager Permission, Hiring Permission or Interviewer Permission is enough to create a request. Editing and deleting require Manager Permission or Hiring Permission.
Before you start
The branch and department of the request must exist in Teamso.
For the request to go through approval, an approval process must be defined for the ATS module (Approval process). If there is no process or every step is skipped, the request becomes Approved as soon as it is sent.
Step by step
From the left menu go to Growth and hiring > Recruitment. The screen opens on the Hiring Requests tab.
Click Create Request.
Fill in the form:
Request Type: New Position or Replacement (requests sent through the API accept only these types too; an unknown old value shows as "-" in the list),
Branch, Department (must belong to the selected branch), Position,
Number of Hires (greater than zero), Employment Type,
optional: Position Fill Duration (Days), Currency, Minimum Salary / Maximum Salary, Hourly Contract Rate, Years of Experience, Education Level, Foreign Languages, Description.
Auto-fill fills the form from your own active assignment: your branch, department and position, the Replacement type, full-time office work and the work time zone "(UTC+03:00) Istanbul". It leaves the salary fields empty; your own pay is not copied into the request, you enter the salary range yourself.
Click Save & Submit for Approval to send it now, or Save as Draft to send it later. You can send a draft later with Send for Approval in the row's Actions menu. To leave without saving, click Cancel.
Responding as an approver
In Hiring Requests, open the Actions menu of the request waiting for you and click Respond. If you have no Recruitment (ATS) permission, the request appears in My approvals and in Waiting for you on the home page; answer it from the row or from the Details window there (My approvals).
In the Respond to Hiring Request window, read the request's status, its approval flow (Created, In approval or the approver it is with, Outcome) and its details (position, branch, department, number of hires, hire date, salary, experience, education, languages, description). The Details window shows the same summary.
Click Approve or Reject.
Creating a posting from an approved request
Once the request is Approved, click Create Job Posting in the Job Postings tab and choose Continue from Hiring Request. The request's details are copied into the posting (Creating and publishing a job posting).
Result
A Draft request is visible only to its creator.
A submitted request goes to the first step of the approval process. Each approval moves it to the next step; after the last one it becomes Approved. If rejected, it becomes Rejected.
No email or notification is sent to the requester or approvers; follow the status in the list.
You cannot approve or reject your own request, not even with Manager Permission; Respond does not appear on your own request.
Draft, pending and rejected requests can be deleted. An approved request can be deleted if no job posting is linked to it.
Common problems
Symptom: The request doesn't save and an error appears.
Cause: The selected department doesn't belong to the selected branch.
Fix: Select the branch first, then a department of that branch.
Symptom: The request became Approved immediately after sending.
Cause: No ATS approval process is defined or every step was skipped (e.g. a "Manager" step exists but the requester has no manager).
Fix: Check the steps in the ATS Approval Process menu.
Symptom: I can't delete a request.
Cause: A job posting was created from it.
Fix: Delete the linked posting first, or keep the request.
Symptom: I see other requests of my department but not other departments'.
Cause: Users without Manager Permission or Hiring Permission only see their own department's requests and those waiting for their approval.
Fix: Give one of those permissions to people who need to see all requests.
