This article walks through the Configuration > Recruitment > Settings page, section by section. It used to be a tab on the Recruitment screen; the recruitment settings now live in Configuration. Here you prepare the content your hiring team reuses (job templates, application questions, email and interview templates), connect your calendar and email account, set how long reserved candidates stay reserved and get your career page links. Users with Manager Permission (ATS_ADMIN) see every section of the page. Users with Hiring Permission see only the Integrations section there and connect their own Google or Outlook account.

The job template, job posting question, email template and interview template lists work the same way: the row above the list has the search box, the number of records found and Sort (interview templates also have status tabs on top, job posting questions a Question Type filter). To sort, click a column header or Sort (ascending, descending, off); pick the page size and move between pages at the bottom of the list. The search, filter, sort and page are kept in the address.

Before you start

  • You need Manager Permission in the ATS module (Responsibility management). Users with Hiring Permission see only Integrations; users with Interviewer Permission do not see this tab.

  • For the calendar and email integration, have the password of the Google or Microsoft (Outlook) account you use at hand.

Step by step

1. Opening Settings

  1. In the left menu, go to Configuration, pick Recruitment in the list on the left and the Settings card at the top. The Settings button in the header of the Recruitment screen opens the same page.

  2. Pick the section you want to work on from the menu on the left: Job Templates, Job Questions, Email Templates, Interview Templates, Integrations and Customization. The number next to a section name is how many templates or questions are saved in it. On a phone the sections are one strip above the content that scrolls sideways. Each section header has a line saying what it is for and the section's add button; when a section is empty the list also offers Create the first template (Add the first question for questions).

  3. Under Quick Links at the bottom of the menu you can copy the Career Page Preview and Live Career Page links or open them in a new tab.

2. Preparing a job template (Job Templates)

A job template stores the details of a position you open often (branch, department, working type, salary range, description). When you choose the template while creating a posting, these details are filled into the form.

  1. In Job Templates, click New Template. The Add Template window opens.

    Job Templates list
  2. Enter the template's name in Save Title (up to 255 characters). This name appears in the list and when choosing a template for a posting.

  3. Choose the Request Type:

    • Replacement: you pick the Branch, Department and Position from your company's existing positions.

    • New Position: you pick the Branch and Department and type the Position name yourself.

  4. Choose the Working Type (Full Time, Part Time, Intern, Contract) and Work Model (Office, Hybrid, Remote). Optionally fill in Number of Hires, Position Fill Duration (Days), Position Country, Position City, Work Time Zone, Currency, Minimum Amount, Maximum Amount, Hourly Contract Rate, Years of Experience, Education Level and Foreign Languages.

  5. Write the job description in Description or click Generate with AI. The button becomes available once Position, Working Type and Work Model are filled in. The description can be up to 5000 characters.

  6. Click Save. Template added successfully appears and the template is added to the list.

Required fields: Save Title, Request Type, Branch, Department, Position, Working Type and Work Model.

From the Actions menu at the end of a row you can open the template read-only with Detail, change it with Edit or remove it with Delete. Deleting or changing a template does not affect postings already created from it; a template only copies its details into the form when a posting is created.

Using a template: in the Job Postings tab, click Create Job Posting and choose Continue from Template on the How would you like to start? screen. Details: Creating and publishing a job posting. This option is shown to users with Manager Permission or Hiring Permission when at least one template is saved. Only Manager Permission can add and edit templates.

3. Adding an application question (Job Questions)

Job Questions is your company's question bank. Questions you add here can be added to a posting with Select from Template in the Job Questions step of the posting wizard, and candidates answer them on the application form on your career page.

  1. In Job Questions, click New Question. The Add Question window opens.

    Job Questions list
  2. In Question, type the question you want to ask (up to 100 characters).

  3. Choose the Question Type:

    • Text: candidates respond with free-form written text.

    • Date: candidates pick a date from a calendar.

    • Single Choice: candidates select exactly one of the options you provide.

    • Multiple Choice: candidates can select more than one of the options you provide.

  4. For Single Choice or Multiple Choice, type the options in the Answer area. Click Add Option for another option, or the cross next to an option to remove it. At least 2 filled-in options are needed; otherwise "Add at least 2 filled-in options." is shown. Rows you leave empty are not saved.

  5. If candidates must answer the question to apply, turn on the switch in the Required field row.

  6. Click Save. Question added successfully appears.

    Add Question window

In the row above the list, search the question text with the Search question... box and filter the questions by type (Text, Date, Single Choice, Multiple Choice) with the Question Type filter next to it. The Actions menu has Detail, Edit and Delete.

Good to know:

  • When you add a bank question to a posting, a copy of the question is added to the posting. Changing the question in the bank later with Edit, or deleting it with Delete, does not affect the application form of postings it was added to before; change the posting's question while editing the posting.

  • If an old posting, created before questions were copied, still uses the question directly, it cannot be deleted: Delete then shows "This question could not be deleted because a job posting uses it. Remove it from those job postings first." and the question stays in the list.

  • A question you add with New Question in the Job Questions step of the posting wizard belongs to that posting only; it does not appear in this list (the question bank).

4. Preparing an email template (Email Templates)

Email templates keep the texts you often send to candidates (interview invitation, offer, rejection notice and so on) ready to use.

  1. In Email Templates, click New Template.

    Email Templates list
  2. Enter the template's name in Save Title (up to 255 characters). The name is only shown in the template list; it is not sent to the candidate.

  3. Enter the email's Subject (up to 255 characters).

  4. If needed, click Add CC or BCC recipients, type addresses in CC and BCC and press Enter after each one. Each field takes up to 15 addresses. A template that already has addresses opens with these fields shown.

  5. Write the email text in Message. You can format it with bold, lists and links; it can be up to 2000 characters. Images cannot be pasted.

  6. Click Save. Email template added successfully appears.

    Email template window

The list shows Template Name, Subject and Last Update Date. The Actions menu has See Details, Edit and Delete.

Using a template: open the candidate in the CV Pool, click Use Template while writing an email in the Emails tab and choose the template in the Select Template window. The template's subject, message and CC/BCC addresses are copied into the email; you can change the text before sending.

Note: Templates have no fields that fill themselves in, such as the candidate's name or the position (variables). If the text needs candidate-specific details, edit the email when you send it.

5. Interview templates (Interview Templates)

You need at least one active interview template to schedule interviews. How to build a template with sections and weighted questions, activate it with Change Status and use it in an interview is described in Scheduling and evaluating interviews. A new template is created as a draft when you click Add First Section; if you Cancel or close the window without Save, the draft is deleted and does not stay in the list. In the list, you can duplicate a template with Copy from the Actions menu. Edit and Delete are not shown for a template already used in an interview; to change it, copy it and create a new version.

6. Connecting your calendar and email account (Integrations)

To email candidates from Teamso and to create interviews with Schedule Interview, connect your own Google or Microsoft account. The connection is personal: every user with Manager Permission or Hiring Permission connects their own account, and emails and calendar invitations are sent from the connected account of the user who performs the action.

  1. Open Integrations. The cards show Google Calendar, Microsoft Outlook and Zoom; the top right of each card says Connected or Not Connected.

  2. On the card of the account you want to connect, click Connect. The Google or Microsoft sign-in page opens in a new browser tab. If it does not open, check your browser's pop-up blocker.

  3. Sign in with your account and approve the permissions Teamso asks for: access to your calendar, sending email on your behalf and reading your email. For a Microsoft account, permission to create Teams meetings is also requested.

  4. After you approve, the tab you signed in with opens Configuration > Recruitment > Settings > Integrations with the message "Your Google account is connected." ("Your Outlook account is connected." for Outlook), and the card shows Connected. The cards in the first tab, where you clicked Connect, update on their own. If the connection fails, an error such as "Could not connect Google. Please try again." is shown.

    Integrations section

To remove the connection, click Disconnect on the card. The card shows Not Connected; this account no longer sends email or creates interviews. Calendar events already created and emails already sent are not deleted.

Options available depending on the connected account:

Google Meet or Face to Face

Microsoft Outlook

The Zoom card says Coming Soon; a Zoom connection cannot be used yet.

7. Retention period and career page links (Customization)

The Retention Period sets how long candidates that a recruiter reserved for themselves with Reserve stay reserved. When it ends, the reservation is removed automatically and the candidate appears in everyone's list again (Changing a candidate's status).

  1. Open Customization.

  2. In the Retention Period row, choose 30 Days, 60 Days, 90 Days, 180 Days or 365 Days. For another period, click Custom days and enter a number of days between 1 and 365.

  3. When you change the value, the bar at the bottom says You have unsaved changes. Click Save; Retention period saved successfully appears. To go back, click Discard changes. Leaving the page without saving asks for confirmation.

  4. In the Preview Link and Live Career Page rows, copy the links with the copy icon (Copy Link) or open them in a new tab with the open icon (Open Link). The Live Career Page lists your active postings and is where candidates apply; you can add this link to your website and social media accounts.

    Customization section

The default retention period is 180 days. Reservations are checked every morning at 08:00 (Turkey time): candidates reserved for longer than the period, counted from the day they were reserved, are released. The new period also applies to existing reservations; if you shorten it, some older reservations may be released the next morning.

Note: The career page theme color currently cannot be changed in Settings.

Result

  • Saved job templates and questions can be chosen in the posting wizard right away. The numbers in the section menu are updated.

  • Email templates appear in the Use Template list in the candidate's Emails tab.

  • Once your account is connected, you can email candidates from their panel and create interviews with Schedule Interview (Scheduling and evaluating interviews).

  • The retention period applies to your company's whole hiring team.

  • No notification is sent for changes you make in Settings.

Common problems

Symptom: Recruitment is missing in Configuration, or Settings shows only Integrations.
Cause: You do not have Manager Permission. Hiring Permission shows only Integrations, Interviewer Permission shows no section.
Fix: For templates and the other settings, ask the person responsible for the ATS module for Manager Permission (Responsibility management).

Symptom: The candidate's panel shows "To send emails or create meetings, you need to connect your Google or Outlook account from Settings - Integrations".
Cause: No Google or Outlook account is connected to your user. An account connected by another user does not count for you.
Fix: Connect your own account under Configuration > Recruitment > Settings > Integrations.

Cause: The browser blocked the new tab as a pop-up.
Fix: Allow pop-ups for Teamso from the blocked-pop-up icon in the address bar and click Connect again.

Symptom: I signed in but a "Could not connect" message appeared, or the card still shows Not Connected.
Cause: The permissions were not approved or the sign-in was not completed.
Fix: Try Connect again and approve every permission on the consent screen.

Symptom: Continue from Template is missing when creating a posting.
Cause: No job template is saved.

Fix: First remove the question from the Job Questions step of those postings, then delete it again.

Symptom: Saving the retention period shows "must be between 1 and 365".
Cause: The number of days is outside the allowed range.
Fix: Enter a value between 1 and 365.
