This article explains how to define your company's own badges and manage the badge settings on Growth and hiring > Badge management. A badge is the definition in the catalog; a badge given to a person is a recognition. Company admins and users with the Badge Management Permission or the Performance Management Administrator Permission use this screen. Other employees see badges only when they give one and when they look at their own badges; they do not see this menu.

Before you start

  • The Performance module and the Badges feature on Configuration > Company settings > Modules are on for your company (Turning company modules on and off). If either is off, the menu does not show.

  • The person who will manage badges has the Badge Management Permission from Configuration > Performance > Responsibilities (Responsibility management). Company admins and people with the Performance Management Administrator Permission do not need it.

Ready-made badges

When you open the screen for the first time, the catalog already holds nine ready-made badges, so you never start from an empty screen. They are added once, in your company's language; refreshing the page does not duplicate them.

You can edit, archive or, while it was never given, delete any ready-made badge. A deleted ready-made badge does not come back.

Step by step: adding and editing a badge

  1. In the left menu, go to Growth and hiring > Badge management. The Catalog tab opens. For the Awards and Pending Approval tabs and the Give a badge button, see Giving, approving and revoking badges.

Badge catalog on the Badge management screen
  2. Each card shows the badge's icon, name, category, tier, award mode, how many times it was given and its status. The Active, Archived and All tabs above the cards show the badge counts and filter the catalog by status. In the row under them the Search badges box searches names and descriptions; the Category and Award mode filters narrow the catalog and Clear all removes them all. Use the Sort menu at the right end of the row to sort by name, category, award mode, points (when points are shown) or Times awarded (ascending, descending). With many badges, change pages at the bottom of the list.

  3. Click Add badge. To edit an existing badge, click its card, or click the three dots at the bottom right of the card and choose Edit.

  4. Fill in Name (required, at most 60 characters), Description (at most 250 characters) and Category. Under Appearance, choose an Icon from the built-in set, a Color and a Tier (No tier, Bronze, Silver, Gold). The preview at the top shows your choice right away. Uploading an image is not available in this version.

    Add badge window

If you like, AI can fill in the fields for you (new badges only):

    • Click the Create with AI row at the top of the window. Its 1 credit pill shows the price of the operation.

    • In What do you want to reward?, briefly describe the behaviour or value. Optionally choose a Category (default Let AI choose) and a Tone (Friendly, Formal, Playful).

    • Click Get suggestions, then Confirm and create. Three suggestions arrive, each with a name, description, category, icon, color and tier.

    • Click Use on the one you like. It is filled into the form as a draft: only the name, description, category, icon, color and tier change; giving rules and limits stay as you set them. The badge is not added until you edit the fields and click Save.

    • The credit is charged only when suggestions arrive; if AI cannot prepare them, nothing is charged and Try again appears. Get new suggestions asks for three new ones and uses a credit again.

  5. Fill in Giving rules and Limits:

    • Award mode: Manual (only people give it), Automatic (only an automatic rule gives it; it cannot be given by hand) or Both. You decide which achievement gives an automatic badge on the Automatic Rules tab (Automatic badge rules).

    • Who can give it: HR and badge admins only, Managers too (an employee's manager gives it to their team) or Everyone (employees give it to each other). Everyone works only while Peer recognition is on in Badge settings, and Managers too only while Managers can give badges to their team is on; the window warns you when it is off.

    • HR approval required: a given badge shows once a badge admin approves it. Message required: the giver must write why.

    • Default visibility: Public or Private.

    • Maximum per person: how many times one person can receive this badge; leave it empty for no limit. Days before the same person can get it again: empty or 0 means no waiting.

  6. Click Save. The badge shows in the catalog.

The points field shows in the window and on the cards while Show points is on in Badge settings. Badge points do not count towards the performance score.

Archiving, restoring and deleting

Click the three dots at the bottom right of a card:

  • Archive: the badge can no longer be given and is not listed on the giving screens. Recognitions given before are not deleted and still show among the person's badges. Archived badges show under the Archived filter.

  • Restore: makes an archived badge active again.

  • Delete: available only for a badge that was never given, and deletes it permanently. For a given badge the menu shows Delete (a given badge cannot be deleted) and it cannot be clicked; archive such a badge instead.

Settings

  1. In the left menu, go to Configuration, pick Performance in the list on the left and the Badge settings card at the top. The Settings button in the header of the Badge management screen opens the same page.

Configuration > Performance > Badge settings
  2. Under Who can give badges, set Managers can give badges to their team and Peer recognition. While peer recognition is on, Monthly peer recognition quota (1-100, default 5) and Can be given to other departments show. Peer recognition is off by default.

    • While peer recognition is on, every employee with the Performance Management Employee Permission gives badges whose Who can give it is Everyone to a colleague with a message (Recognising a colleague). Peer recognition needs no extra approval; if the badge has HR approval required, that approval is enough.

    • Monthly peer recognition quota is per person and renews on the first day of each month (Turkey time). Waiting, active and revoked recognitions count; a rejected one gives the right back. For a per-badge limit use the badge's Maximum per person and Days before the same person can get it again. A new quota applies at once.

    • While Can be given to other departments is off, employees recognise only their own department. Badges a manager gives their team and badges a badge admin gives do not count towards the quota.

  3. Under Recognition Wall, set Whose recognitions show on the wall (Whole company, Their branch, Their department), Show points and Leaderboard. While Leaderboard is on, the Report tab ranks the employees with the most recognitions (Badge report, Excel and monthly summary).

  4. Under Notifications, set Send badge e-mails and Tell the recipient's manager. With Send badge e-mails on, the recipient gets an e-mail, and the badge admins get one for awards waiting for approval. System and push notifications do not depend on this setting; everyone chooses them in their own Notification settings (Giving, approving and revoking badges). While Monthly recognition summary e-mail is on, the badge admins get last month's summary on the first day of every month; it is off by default.

  5. Click Save in the bar at the bottom of the screen. Only the settings you changed are saved; Discard changes drops unsaved changes. The left of the bar shows the state (You have unsaved changes or All changes saved). If you try to open another setting or leave the page without saving, you are asked to confirm first.

Result

Active badges you add and edit become selectable on the giving screens. Archived badges cannot be given but still show in past recognitions. The settings apply to the whole company.

Differences on mobile

The mobile app opens the screen in card view, with the catalog in one column. Adding and editing badges and the settings work on mobile too, but choosing icons and colors is fiddly on a small screen. We recommend editing the catalog from a computer.

Common problems

Symptom: "An active badge with this name already exists."
Cause: There cannot be two active badges with the same name. Upper/lower case and Turkish characters do not make a name different.
Fix: Choose another name or archive the old badge.

Symptom: The same warning appears when you Restore an archived badge.
Cause: A new badge with the same name was added while it was archived.
Fix: Rename one of the badges.

Symptom: "This badge cannot be deleted because it has been given. Archive it instead." or Delete cannot be clicked.
Cause: The badge was given at least once; past recognitions are kept.
Fix: Archive the badge.

Symptom: Create with AI says "This needs 1 credit and your balance is not enough."
Cause: The company has run out of digital credit. AI is not called and nothing is charged.
Solution: Top up credit on the Payment Information screen through the Top up credits link in the warning, or fill in the fields yourself.

Symptom: Badge management is not in the menu.
Cause: You do not have the permission, or the Performance module or the Badges feature is off.
Fix: Ask your company admin for the Badge Management Permission; check the module settings.
