Recognising a colleague (peer recognition)

Explains how an employee gives a colleague a badge while peer recognition is on, the monthly recognitions and their renewal on the first day of the month, the own-department rule, how a manager switches between giving their team a badge and peer…

This article explains how to recognise a colleague by giving them a badge. This is called peer recognition. Peer recognition is off by default; a badge admin turns it on in the Settings tab of Growth and hiring > Badge management (Badge catalog and badge settings). While it is on, every employee with the Performance Management Employee Permission (one of the standard employee permissions) can recognise colleagues.

Rules:

  • Only badges whose Who can give it is Everyone can be given.

  • A recognition goes to one person and needs a message (at least 10, at most 500 characters).

  • The number of recognitions you can give each month is limited (5 by default). They renew on the first day of each month, Turkey time.

  • You cannot recognise yourself, or an employee who left or is inactive.

  • While Can be given to other departments is off, you can only recognise colleagues in your own department.

  • If the badge has Days before the same person can get it again or Maximum per person, that limit applies to peer recognition too.

  • If the badge has HR approval required, the recognition shows once a badge admin approves it. Peer recognition needs no other approval.

Before you start

  • The Performance module and the Badges feature on Configuration > Company settings > Modules are on.

  • A badge admin turned on Peer recognition, and at least one badge has Everyone in Who can give it.

Step by step

  1. Open the Recognise window:

    • Click Recognise at the top right of Mine > My badges. Next to the button you see the recognitions left this month (for example "3/5 recognitions left this month").

    • Click Recognise on the Recognition card on the home page; the recognitions left are shown at the top of the card too (Using the home page).

    • Open your colleague's card (for example by clicking their name) and click Recognise in its header; the person comes selected. The button shows only if you can recognise that person.

  2. At the top of the window you see the recognitions left this month and the day they renew.

  3. In Person, pick the colleague you want to recognise. Type part of their name in Search people to narrow the list. If you can only recognise your own department, the section says "You can only recognise colleagues in the ... department."

  4. In Badge, pick the badge. The list only has badges colleagues can give each other.

  5. In Message, write why you recognise them.

  6. Click Recognise.

The recognition is active at once and your colleague gets a notification. In the recognition's details, Source says Colleague. The window shows the result and the recognitions you have left this month. To recognise someone else, click Recognise someone else.

If you are also a manager

A manager with a team sees two options in the Give a badge window:

  1. Choose at the top of the window:

    • Give a badge to my team: you give badges managers can give to one or more people in your direct team. This does not use your monthly recognitions (Giving, approving and revoking badges).

    • Recognise a colleague: peer recognition as in this article; one person, and it uses one of your monthly recognitions.

  2. While Recognise a colleague is selected, the recognitions left this month show; the steps are the same as above.

The system decides the source of the award: if you give a badge managers can give to someone in your team, it is saved with the Manager source and does not use your recognitions.

When your recognitions run out

  1. If you have used this month's recognitions, the Recognise window says "No recognitions left this month." instead of the form; the box at the top shows the day they renew. They renew by themselves on the first day of the month.

Recognise window when the recognitions ran out
  • Waiting, active and revoked recognitions count. A recognition the badge admin rejects gives the right back.

  • If the badge admin raises the monthly number, the new number applies at once.

  • If you try to use your last recognition from two windows or devices at the same time, only one is given; the other shows "You have used this month's recognitions." and the renewal day.

Differences on mobile

On a phone the window opens full screen and the steps follow one another: person, badge, message, Recognise. The quickest way on a phone is Recognise on the home page Recognition card, or the Create > Give a badge shortcut in the left menu.

Common problems

Symptom: There is no Recognise button.
Cause: Peer recognition is off in the company, no badge can be given by Everyone, or you do not have the Performance Management Employee Permission. While peer recognition is off, only badge admins and managers who can give their team badges give badges.
Fix: Talk to your badge admin.

Symptom: It says "No recognitions left this month."
Cause: You have used all of this month's recognitions.
Fix: They renew on the day the window shows (the first day of the month). Ask your badge admin if the number should be raised.

Symptom: The warning "You can only recognise colleagues in your own department." or the person you look for is not in the list.
Cause: Can be given to other departments is off and the person is in another department.
Fix: Pick someone from your own department. If your department is not set, nobody is listed; talk to HR.

Symptom: The result says "Can get this badge again from ...".
Cause: The badge has a waiting period and the person got it recently.
Fix: Pick another badge or try again after that date. Nothing was given, so it does not use a recognition.
