This article explains the Automatic Rules tab of Growth and hiring > Badge management. An automatic badge rule links an achievement to a badge: an employee who meets the condition gets the badge without anyone giving it. For example, an employee who completes their fifth year gets the 5th Year badge, and an employee whose goal period score is 90 or more gets the Goal Hunter badge. Company admins and users with the Badge Management Permission or the Performance Management Administrator Permission manage the rules.
Before you start
The Performance module and the Badges feature on Configuration > Company settings > Modules are on in your company (Turning company modules on and off).
The Award mode of the badge the rule gives is Automatic or Both. The ready-made Goal Hunter, 1st Year, 5th Year and 10th Year badges are already automatic. For another badge, edit the catalog (Badge catalog and badge settings).
Triggers
A rule uses one of the triggers below. Only the triggers of the modules that are on in your company are listed.
Trigger | When the badge is given | Condition | When it is evaluated |
Goal period score | Once per period, when the employee's goal period score reaches the minimum score. A corrected score counts. A provisional score written while the evaluation is in the approval chain does not count; the badge comes with the final approval. | Minimum score, optional Period | When the period score is written |
All goals of the period completed | Once per period, when all goals of the period are Completed. Goals left out of the period do not count. | Optional Period | When a goal is completed |
Years of service | Once, when the years since the hire date are reached. The same date as the work anniversary e-mails is used. The nightly run gives the years completed after the day the rule was added or its condition last changed; use Apply to the past for earlier ones. | Years (1-60) | Every night at 01:30 |
Competency assessment score | Once per period, to an employee whose overall score reaches the minimum when a competency assessment period ends. | Minimum score | When the period is completed or closed |
Recognitions received | Once, when the employee has received this many recognitions from people. Automatic badges do not count. | Number of recognitions | When a recognition is given, approved or revoked |
Recognitions given | Once, when the employee has given this many recognitions to colleagues or their team. Recognitions a badge admin gives on behalf of the company do not count. | Number of recognitions | When a recognition is given |
The same achievement earns a person the same badge only once. Even if the event arrives twice, or the rule is deleted and added again, the badge is not given a second time. The badge's Maximum per person and Days before the same person can get it again limits apply to automatic badges too.
Step by step: adding a rule
In the left menu go to Growth and hiring > Badge management and click the Automatic Rules tab. Each card shows the badge, the trigger, the condition, the scope, the status, how many people earned it and when it last ran. The All, Active and Passive tabs above the list filter the rules by status; in the row under them you can search with the Search badge or trigger box (the condition and scope are searched too) and use Sort to order by badge, trigger, status, people who earned it or last run (ascending, descending). While there are no rules yet, the whole list card shows No automatic rules yet; its Add Rule button adds the first rule.
Click Add Rule on the right of the page title.
Select the badge the rule gives in the Badge list. Only active badges whose award mode is Automatic or Both are listed. If you select 1st Year, 5th Year, 10th Year or Goal Hunter, the matching trigger and year are filled in for you.
Select the achievement in the Trigger list. The text below it tells when the badge is given and when the rule is evaluated.
Fill in the fields of the Condition section (for example Minimum score, Years or Number of recognitions). If you leave Period empty, every period is evaluated separately.
In the Scope section select Whole company, Branch or Department. For a branch or a department, select at least one unit in the list. The rule evaluates only the active employees in the scope; new hires and people who move join it on their own.
Keep Rule active on for the rule to work right away. Turn on Apply to the past after saving if employees who already met the condition should get the badge too.
Click Save. The rule shows among the cards, and from now on everyone who meets the condition gets the badge on their own.
Applying a rule to the past
A rule rewards only achievements reached after it was added. For example, when you add the 5th Year rule, employees who completed their fifth year years ago do not get the badge. To give it to them too, apply the rule to the past:
Save with Apply to the past after saving on, or click the three dots at the bottom right of the card and select Apply to the past.
The window shows how many people get the badge ("This rule gives the badge to 37 people today.") and some of their names. Nothing is saved yet.
Tick Notify the people who get the badge if they should be notified. The box is empty by default; when empty, the badges are given without notifications but still show on the Recognition Wall and on the employee's My Badges tab.
Click Apply. The badges are given in the background; the card says "Applying to the past". You can follow the progress with the Request Queue button in the page header.
People who already have the badge do not get it again, so applying the same rule several times is safe.
Editing, pausing and deleting a rule
Click the three dots at the bottom right of the card:
Edit: changes the badge, the trigger, the condition or the scope. Badges this rule gave stay.
Pause / Activate: a paused rule gives no badges; the card says Paused.
Delete: deletes the rule. Badges this rule gave stay with the employees.
An automatic badge is not taken back when the rule is deleted or when a score drops later. If needed, a badge admin revokes the recognition with a reason on the Awards tab (Giving, approving and revoking badges); a revoked badge is not given again for the same achievement.
If a rule shows as passive
If the card shows one of these labels instead of the green Active, the rule gives no badges:
Label | Reason and what to do |
Paused | You stopped the rule. Select Activate in the three dots menu. |
Module off | The trigger's module or the Badges feature is off in your company. The rule works again when the module is turned on. |
Badge archived | The rule's badge was archived. Restore the badge in the catalog or edit the rule to use another badge. |
Badge given by hand only | The badge's award mode was set to Manual. Set it to Automatic or Both in the catalog. |
What the employee sees
The employee who gets the badge receives the notification "Congratulations, you earned the "5th Year" badge." (when applying to the past, only if Notify the people who get the badge is ticked). The e-mail and manager notification options on the Settings tab apply here too.
On the Recognition Wall the card says "Given automatically by Teamso" instead of a giver. On the home page Recognition card the recognition carries the Automatic label.
In the Locked badges section of the employee's My Badges tab, the automatic badges they have not earned yet show with progress (for example "3/5 years", "Score 72/90") (Recognition Wall, My Badges and badges on the profile).
Result
An active rule you add gives the badge on its own when the employees in its scope meet the condition. Years of service rules are evaluated every night, the others as soon as the related record is saved; applying to the past also gives the badge to employees who met the condition before.
