Using the home page

Explains the parts of the home page, namely the greeting and Quick add, the day panel with your attendance status, the inbox that gathers your approvals and tasks, the My day tiles and the rotating card slots; it also explains who sees which part and…

When you sign in to Teamso, the Home page opens. It shows your day and your work first; managers also get approvals and team information on the same screen. Each part shows according to your permissions, the modules turned on for your company and your data: there is no greyed-out button or "no permission" card for something you cannot do, that part is simply not drawn. On desktop and tablet all content fits on one screen; some cards take turns in rotating slots.

To change the home page for yourself (add, remove or reorder cards), see Editing your home page.

Before you start

  • Sign in to Teamso. If you are on another screen, click Mine > Home in the left menu or the logo at the top of the menu.

  • If a part you expect does not show, you do not have the permission for that task or the module is not turned on for your company. Ask your manager (Manage Permissions).

Parts of the home page

Parts of the home page
  1. Greeting: the date, a greeting for the time of day and a short status sentence (for example "Shift ends at 18:00. 7 h 18 min to go."). On your birthday it says "Happy birthday", on your first day "Welcome aboard", on your work anniversary "Glad you are here", and on a public holiday "Happy holidays" (festivals) or "Enjoy your day off".

  2. Quick add: up to four buttons for the most common tasks; the rest are in the ⋯ (More actions) menu. The default order is personal tasks first (Leave request, Expense, Request, Overtime, Report, Give a badge; if you give badges only as peer recognition, this button is called Recognise everywhere), then management tasks if you have the permission (Add employee, Add leave for employee, Announcement, Send document). Choose the order and which actions show with Edit quick add at the bottom of the Create menu in the left menu; the home page shows the first four and Create uses the same order (Using the left menu). An action you do not have the permission for is not in the list. The buttons open the window right on the home page (Requesting leave, Creating an expense group, Creating a request, Sending reports). Management tasks open in a window on the home page too: Add employee opens the add window of the employee list (after saving, the window closes, you stay on the home page and counts such as Missing employee records update at once; if you fill in a field and close without saving, you are asked about Unsaved changes), Add leave for employee the add-leave-for-employees window of the leave screen, Announcement the add-announcement window, and Send document the e-document sending window (Adding an employee, Adding leave for employees, Publishing announcements, Sending e-documents).

  3. Day panel: if you use attendance (PDKS), your status such as Checked in, On break, Not checked in or Day complete, the time you worked today, your check-in time and shift, and a strip that fills along the shift. Check in or Check out opens the QR scan screen (Checking in and out by scanning a QR code). On a phone, Check in with location shows when location check-in is turned on. On desktop, if QR scanning is turned off for desktop, the panel says "Use your phone to scan the QR code to check in and out." instead of a button. If you do not use attendance, the Today panel in the same place shows the time until the end of the day or the date and a Request leave button.

  4. Inbox: Waiting for you or Your tasks (see the next section).

  5. My day: weather and tiles with your own information (Leave left, Holiday in (Holiday when the holiday is today or tomorrow), world clocks; depending on your permissions Overtime, In approval, To close). Tiles do not rotate; click one to open the whole card next to it. On a wide screen My day always sits next to the greeting, at the top.

  6. Rotating slots: the cards of the Team and celebrations, From the company and Tools groups. Each slot shows one card and moves to the next every 8 seconds; you can go to any card with its name (tab).

Inbox: Waiting for you and Your tasks

The inbox gathers everything that needs action from you in one place and does not rotate.

  • If there are requests waiting for your approval, the title is Waiting for you with the Awaiting your approval and Your tasks tabs. If you have nothing to approve, the title is Your tasks.

  • Awaiting your approval: leave, overtime, request and expense approvals, and badge approvals if you are a badge manager. A row shows the person, the type, the date range and number of days for leave (for example "4-6 November · 3 days"), the day and duration for overtime (for example "24 October · 2 h 30 min"), the details for other types, and how long it has been waiting; an item waiting more than 3 days shows a warning dot with the waiting time in place of the time (for example "5 days"). With the View Employee List permission, click the photo (avatar) on a row to open that person's profile.

  • Your tasks: policies you need to read and acknowledge, surveys to answer, e-documents waiting for your approval, your attendance excuses and your payslip waiting for acknowledgement (View payslip). Managers also see setup and data warnings here, depending on their permissions: "Attendance setup is incomplete: add a location." or "Time tracking setup incomplete: add a QR code." (Add location), "Branches outside your scope: ..." (with the branch names; Edit branch responsibilities), "Team visibility is off." (Set visibility; the eye icon is Don't show), "Missing employee records: n people" (Employee records) and, in an open payroll period, "Timesheet mismatches: n people" (Open timesheet). An overdue item shows at the top with "Overdue".

  • Clicking an item takes you to where you do that work and can see what is missing (table below). The number on the row is the number of people in the list that opens, and it counts only people of the branches you are responsible for.

Item

Clicking it

Timesheet mismatches: n people

The Timesheet mismatches window opens: person by person, the mismatch and its explanation (for example "The timesheet has 32 days, actual working days are 30."). Fix opens the person's cell on the Payroll periods screen; a missing BES start date opens Personnel records > Mandatory BES. For days without a timesheet entry, Open in timesheet opens that month's timesheet list searched for the person. After fixing, Check again refreshes the list and the number on the home page.

Missing employee records: n people

Personnel records > Missing information opens: people missing at least one of Identity, Position, Seniority, Workplace or Contract, with the missing sections on each person. Click a section to open it for that person (Personnel records screen).

Attendance setup is incomplete

With no location, the add location wizard in Attendance management > Locations; with a location but no QR code, Locations.

Branches outside your scope

Configuration > Branch managers, searched for your name.

Team visibility is off

Company settings > Visibility Settings.

Payslip acknowledgement

Payslips and docs > My payslips.

Attendance excuse

The excuse window of that record on the Scan QR screen.

Recognition approval

That recognition in the Pending Approval tab of Badge management.

  • For the items that do not fit and the detailed table, click See all; the My pending items drawer opens from the right. If you also have approvals, the drawer lists Your tasks first and Awaiting your approval below.

Approving leave or overtime

  1. Click Approve on the row. The confirmation window shows a summary of the request (person, type, dates and duration, description) and, for leave, the balance left after approval (with this leave's days taken off). Unlimited leave types (for example Unpaid leave) have no balance, so this line does not appear.

  2. Click Approve in the window. The request is sent at once; the approved row drops out of the list and the count in the left menu goes down too.

    Approval window in the inbox
  3. To reject, click the Reject (cross) button on the row, write a reason for leave if you like and click Reject.

Badge approvals are also decided at once with Approve or the cross on the row. Reply on a request and Review on an expense open the existing detail window (Approving or rejecting a leave request). Read and acknowledge on a policy, Answer survey on a survey, Review document on an e-document and Submit an excuse on an attendance excuse open the related window or screen. On a phone or touch screen, tap the row; the summary and buttons show in a sheet from the bottom. If an approval fails, the row stays and shows "Could not approve." with Try again under it.

My day tiles

  1. Click a tile. The whole card opens next to the tile (for example the Next holiday card with the holidays left this year and Full year).

  2. If you can write calendars (company administrator, Company Permission Settings or the working calendar add and manage permissions), the Edit calendar link in the Full year window opens the public holiday calendars page.

  3. For weather, world clocks, shortcuts and the My overtime card you can open the settings with the gear in the window's header (Editing your home page).

  4. Close the window with Esc or the cross.

Card opened from a My day tile

Tiles that do not fit are gathered in the last tile, for example "+2 widgets"; click it to pick from a list.

Rotating slots

  • The names of the cards (tabs) are in the slot's header. Click a tab to open that card; the slot then waits for 30 seconds.

  • The card changes when the line under the active tab fills. The card does not change while your pointer is over the slot or the inbox, while a window is open, while text in the slot is selected or while the browser tab is in the background. When you enter a slot with the keyboard, it stays until you press the start button.

  • The pause button (two bars) at the start of the slot stops it; your choice is remembered on the same device. In the ⋯ menu you find Auto-advance (Off, 6, 8 or 12 s), Add a card to this group, Remove card and Edit home page.

  • A card with something important (a celebration today, a new announcement, a policy waiting for acknowledgement) has a dot on its tab, and the slot opens with that card first.

  • If reduced motion is turned on on your device, the cards do not rotate by themselves.

Add or update employee permission

The default order of the cards comes from your permissions: for example Team today comes first for a manager with a team, and Policies and Announcements come first for a company administrator. Whatever the number of cards or your layout, you see a full screen; an empty slot is removed and the others grow.

Team today, Celebrations and role cards

  1. On the Team today card an attendance manager sees the Attendance tiles (At work, On break, Late, Absent); clicking a tile opens that card's list of people on the attendance board (for example the Absent tile shows who has not come in today). Below them are a summary of who is off today and Recent activity (the latest scans); the section refreshes every minute while the card is open.

  2. For an employee with requests waiting for their approval (an approver), the card shows the This week strip in place of the Upcoming list: for each day from Monday to Friday the number of people on leave, and Holiday on a public holiday. Click a day to see who is off that day. When the card is shown wide, everyone sees the strip. The label in the card header names the scope the leaves come from (for example My branches); you can change the scope in the card settings (Editing your home page).

  3. On the Celebrations card, a person with a birthday or work anniversary today stands out as Today's moment. When an image was prepared for the celebration, it shows in place of the person's photo. Click Congratulate: your congratulation is saved, the button becomes "Congratulated" and the counter goes up by one.

Congratulate on the Celebrations card

Depending on your permissions, My day also holds role cards: Payroll period (days left to close), Expense overview (forms sent this month and in approval; the payment queue for payment approvers) and My overtime (this month's total). Joiners and leavers sits in the Team and celebrations slot.

Role cards in My day and the Payroll period card

Home page on a phone

On a phone the parts are stacked: greeting, day panel, Quick add tiles, My day tiles, inbox and a single Your cards slot.

Home page on a phone
  1. The main button of the day panel (for example Check out) takes the full width.

  2. Quick add actions show as tiles; the ones that do not fit are under More.

  3. The inbox shows the first three items; tap See all for the rest. Tap a row to open its summary and buttons from the bottom.

  4. In the Your cards slot, tap the card name to pick from a list, or use the arrows or swipe sideways to move between cards.

  5. Edit home page at the very bottom turns on edit mode.

Windows that open on the home page by themselves

  • Survey: if there is a required survey you have not answered, the survey window opens (Answering a survey).

  • Data Entry Request: if HR asked you for registry data or documents, this window opens and cannot be closed (Data Entry Request).

  • Account strip: the company administrator, or a person with the View Company Settings permission, sees one strip above the greeting that cannot be closed: an overdue payment ("Your payment is 3 days overdue...") or an upcoming due date, an expired licence, low or exhausted digital credit, or a trial ending in 7 days or less. If you signed up yourself, Pay now and See packages open the plan and payment screen directly. If your subscription is managed under your agreement with Teamso, the strip does not ask for a payment ("Your licence has expired. Contact your Teamso account manager to renew it."); when no licence is set up yet the home page shows no strip and the information appears only in Billing. Contact Teamso opens the contact box in Billing > Subscription and Packages. Pay now, Contact Teamso, Buy credit or See packages show only with the permission to manage payments; otherwise the strip says "Your company admin can complete the payment." or "Your company administrator can contact the Teamso team." (Subscription and payment).

    Account strip
  • Setup panel: the administrator of a self-signed-up company sees the progress, the next step and Continue in place of the day panel while setup steps are left. Later hides the panel for 7 days. It does not show in the mobile app.

Result

The home page is built with current data each time it opens. Records you create with Quick add go to the related module's list and into the approval chain; an approval you give in the inbox drops out of both the home page and the count in the left menu at the same time.

Common problems

Symptom: The day panel says "We could not load your attendance status." instead of your status.
Cause: The attendance status could not be read at that moment.
Solution: Click Try again. The Scan QR button works in this case too.

Symptom: A card is missing from the home page.
Cause: The card's module is turned off for your company, you do not have the permission, the card has nothing to show (for example no policy is published to you) or you removed the card.
Solution: Look at the cards you can add with Edit > Add a card to this group (Editing your home page); ask your manager for permissions.

Symptom: The top of the page says "You are offline. Showing the last information we had."
Cause: Your device lost its internet connection; the cards show the information loaded last.
Solution: When the connection is back, the strip goes away by itself and the cards refresh; repeat anything you did meanwhile once you are back online.

Symptom: Cards do not change by themselves.
Cause: The slot is paused, Auto-advance is Off or reduced motion is turned on on your device.
Solution: Press the start button (triangle) at the start of the slot, or choose a time under ⋯ > Auto-advance.
