This article covers the screens and rules for your Teamso subscription: the subscription summary, buying extra seats when the user limit is reached, automatic renewal and what happens when the license expires. Users with the View Company Settings permission see these screens; paying (extra seats, subscription, overdue payment) requires the company admin role or the Company Permission Settings permission. Payment screens open only on the web.
Before you start
You need the View Company Settings permission.
The Billing Details section of the Configuration > Billing screen must be filled in; payments cannot be made without billing details (Digital Credits).
Step by step
The Payment Infos screen and Overview
In the left menu, go to Configuration > Billing. The screen has a section menu on the left: Overview, Subscription and Packages, Digital Credits, Wallet and Cards, Billing Details and Transaction History. On a narrow screen this menu runs horizontally at the top of the page. The open section is also written to the address bar, so a shared link opens the same section.
The screen opens on Overview. Four cards are at the top: Subscription (plan, end date, days left and the user limit bar), Digital Credits (remaining credits), Wallet (dollar and lira balance, plus the coupon balance if you have one) and Billing Details (Complete or Missing). Click a card to open its section.
Below the cards, warnings appear when needed, each with a button that opens the related section:
If the subscription has expired: "Your subscription has expired. Renew your plan to keep using Teamso without interruption." If you signed up yourself and have no active plan: "You have no active plan. Choose a plan to keep using Teamso." with Choose a plan.
If your subscription is managed under your agreement with the Teamso team, the alert does not ask for a payment: an expired licence shows "Your licence has expired. Contact your Teamso account manager to renew it.", and a company with no licence set up yet shows "No licence is set up for your company yet. Teamso sets it up under your contract." Contact Teamso opens the contact box in Subscription and Packages. The Subscription card of a company without a licence shows No licence set up.
If 30 days or fewer are left: "Your subscription ends in … days."
A user limit warning when active users reach 90% of the limit or exceed it.
If billing details are missing: "Complete your billing details before making a purchase."
If a bank transfer payment is pending: "Your bank transfer payment is pending. Your plan updates automatically once it arrives."
At the bottom are Quick actions (Buy digital credits, View subscription and packages, Edit billing details, Manage saved cards) and the Recent credit activity card with the last five credit entries; See all opens Transaction History.
Viewing subscription details
Open the Payment Infos screen.
Choose Subscription and Packages in the section menu, or click the Subscription card on Overview.
The plan card shows your plan (Paid plan, Trial, Expired or No active plan) with a status badge, the Billing Period (not shown during a trial, which has no billing period), Start and End dates and the days left. The User limit bar compares your active users with the number of users in your plan.
If you signed up for Teamso yourself (Get Started), the buttons at the top right open the checkout screen: Change user count and, depending on your plan, Extend, Upgrade to a paid plan (during the trial) or Renew plan (when it has expired or there is no plan). Checkout: Choosing a plan, paying and the payment result.
The Packages in your subscription card lists the packages included in your subscription. For Get Started companies, Add packages on this card also opens the checkout screen; the price is calculated from your user count. If a bank transfer is pending, the Your bank transfer is pending box shows the amount and the Bank, Account name, IBAN and Reference code; add the reference code to the transfer description. If a renewal is scheduled, the Scheduled renewal box shows the start and end date of the new period, the number of users and the period (monthly or yearly).
If your subscription is managed under your agreement with the Teamso team, these buttons are not shown and no card payment is taken; the amount and payment method are in your contract. The plan card may show the Estimated amount for the next period. The Contact Teamso box at the bottom of the section shows your licence status and offers two ways: Request a call back sends your request with your company name and user count to the Teamso sales team, and your account manager gets in touch; Send an email opens an email to [email protected].
Viewing the payment and licence history
All payments and licences of your company are in one list: licences the Teamso team or your distributor set up or extended, self-serve subscription payments, extra user payments, digital credit purchases and credits granted to you, wallet and coupon top-ups, and card refunds. Credit usage is not in this list; it is in Transaction History.
On the Billing screen, choose Payment and Licence History in the section menu.
Narrow the list with the tabs at the top: All, Licences, Credits, Wallet. Each tab shows its record count.
Type a description, amount or invoice number in the search box. Use the Date chip for a date range and the Type chip for one or more types (for example Licence, Credit purchase, Card refund). Clear all removes every filter.
Use Sort to order the list by date, type, amount or status; clicking a column header does the same (ascending, descending, off).
Each row shows the date, type, description, payment method, amount and currency, status and the invoice if there is one. A licence row describes the period (monthly or yearly), user limit, start and end dates and packages. Statuses: Paid, Awaiting payment, Overdue (the payment due date has passed), Ended, Free, Granted (credits granted to you), Refunded and Partly refunded. Card refunds show a negative amount. If there is an invoice link, Open invoice opens it in a new tab; otherwise the invoice number is shown.
Export to Excel downloads every record of the selected tab and filters to an Excel file.
On screens narrower than 900 pixels the list shows record cards. The tab, search, filters and sort are kept in the address bar, so a shared link opens the same list.
Buying extra seats when the user limit is reached
When you reach the number of users in your package, you need extra seats to add new employees.
On People > Employee list, click Add. If the user limit is reached, the Buy Seat window opens instead of the add employee window.
Enter the number of seats in How many seats would you like to buy?. The window shows the price per seat (For each seat) and the total calculated from the months left on your license.
Click Continue and pay from your wallet or by card in the payment window.
The seat fee is the number of seats × the monthly price per person × the whole months left on your license. If your billing information is missing, you are sent to the Payment Infos page first.
Subscription renewal
The subscription renews automatically on its end date:
Reminder emails are sent 7, 5, 3 and 1 days before the end and on the end date. If your billing information is missing, a warning email is also sent.
On the end date the payment is first taken from your wallet balance and, if that is not enough, from your saved card.
If the payment fails, it is retried for 3 days after the end date.
On the 4th day a suspension notice email is sent.
Each reminder and notice is sent once for its day; it does not arrive a second time the same day.
Result
What happens when the license expires
There is a 4-day grace period after the end date.
After the grace period, users see "Your company license has expired or has not yet been approved." when signing in and cannot get in.
Users who are already signed in when the grace period ends can keep working; the check happens at the next sign-in.
Sign-in attempts do not send emails or text messages. The suspension notice arrives only once, on the day the account is suspended.
No data is deleted; once payment is made, the account continues where it left off.
After the grace period, a user with the View Company Settings permission is taken to the Your license has expired screen instead of the warning when signing in. If you signed up for Teamso yourself, you choose your plan and pay on this screen (Choosing a plan, paying and the payment result). If your license is managed by the Teamso sales team or a distributor, the screen does not take payments; contact your distributor or the support team at [email protected].
