What this module is for
Teamso brings HR processes such as employee records, leave, expenses, requests, overtime, PDKS (time attendance), payroll, performance and hiring together in one application. The articles in this section cover topics shared by all modules: first setup, granting permissions (Manage Permissions), approval chains (Approval Process) and the mobile app.
Roles and permissions
In Teamso a "role" is the sum of a person's permissions. In practice there are three kinds of users:
Role | How it is set | What they can do |
Main administrator (Admin) | The person who registered the company in Teamso. Every permission in the purchased packages is given to this account automatically. | Sets up every module, grants permissions to everyone, manages company settings, payments and Digital Credits. Data reset can only be done with this account. |
Manager | Not a separate role: a person given admin/manager permissions in modules, and the person selected as "Manager" in employees' job details. | In modules they have permissions for, sees and manages records of employees in the branches they are responsible for; approves requests when their turn comes in the approval chain. |
Employee | Everyone added to the system. Gets the company's default permissions when added. | Creates their own leave, expense, request and overtime records, sees their own details and payslips, checks in and out with PDKS. |
For the permission types (permission management, admin, manager, base) in detail: Manage Permissions.
Before you start
Your company must be registered in Teamso with a valid license.
You need the email address you were given, or your registered phone number, and your password.
If you are the main administrator, complete the setup steps (First steps in Teamso).
First setup
Sign in with the main administrator account (How your company account is opened and your first sign-in).
Enter your own details, departments and positions, employees and company information, and buy Digital Credits (First steps in Teamso).
Give managers and the HR team their module permissions (Manage Permissions).
Build approval chains in modules such as leave, expense, requests and overtime (Approval Process).
Review company settings and security options (Company Settings overview).
Daily workflows
Menu structure
From top to bottom the left menu has: the Search and Create buttons; Mine for your own work (Home, My approvals, My profile, My leave, My requests, My expenses, Payslips and docs, My badges); the pages you pinned; five module groups (People, Time and attendance, Pay and expenses, Growth and hiring, Comms and docs) and Reports; and at the bottom Configuration, MCP connection, Help center and Collapse. The pages in each group depend on your permissions in that module; modules your company has not bought never appear in the menu.
The Manage Permissions, Approval Process and Settings pages of the modules are not in the menu; they are gathered on the Configuration page (Configuration page).
Click Search or press Ctrl K (⌘ K on a Mac) to find a page, action or guide by name.
When you are given a new permission, the menu updates after you refresh the page.
Collapsing and expanding the menu
On a computer, Collapse at the bottom of the menu turns it into a narrow rail of icons; Expand opens it again. Your choice is saved in this browser. On a phone the menu is a drawer opened with the ☰ icon at the top left, and it closes by itself when you open a page. For details, pinning and badges: Using the left menu.
Homepage
For the parts of the Home page that opens when you sign in (Quick add, the day panel, the inbox, My day and the rotating card slots), see Using the home page. To add, remove or order cards, see Editing your home page.
A typical day by role
Employee: creates leave, expense, request or overtime records from the home page; checks in and out for PDKS with their phone (Mobile app).
Manager: answers requests waiting for approval in the inbox (Waiting for you) on the home page (Approval Process).
Main administrator: manages permissions and approval chains, and keeps an eye on company settings and Digital Credits (Company Settings overview).
Statuses and what they mean
Status | Meaning |
Active user | Can sign in and work according to their permissions. |
Passive user | Cannot sign in; at sign-in they are told their account is inactive. Change it with Disable / Activate in the Employees list. |
Company with an expired license | Users see "Your company license has expired or has not yet been approved." at sign-in and cannot sign in. Administrators with permission to see payment information can sign in and are taken to the payment screen (Subscription and payment). |
Notifications
Teamso notifications appear inside the application, under the bell icon in the top bar and in the Notifications window (Following your notifications).
Lists you download as Excel are announced in the bottom right corner of the screen while they are prepared and when they are ready; all of them are in the My lists window (Downloading a list as Excel and My lists).
Emails are sent to people whose approval turn has come and to requesters (in the leave, expense and request chains). Details are in each module's overview article.
If you are signed in to the mobile app, notifications also reach your phone's notification centre as push notifications (Mobile app).
Mobile differences
The mobile app uses the same screens as the web. Payment information, the digital credits in the top bar and the organization chart are not shown on mobile; lists open in card view. Details: Mobile app.
Common mistakes and FAQ
I cannot see a module in the menu. You have no permission in that module, or your company has not purchased it. Ask your administrator for a permission.
Opening a page shows "Not authorized to access this page." You do not have the permission the page needs. Contact your administrator.
My manager cannot see my requests. Your manager may not be selected in your job details, or your manager has no responsibility for your branch (Manage Permissions).
I cannot sign in or I forgot my password. What to do for each sign-in message, and the Forgot Password steps: I can't log in - what should I do?
Where can I get help?
In the app, Help Center at the bottom of the left menu opens all the guides; on any screen, Help (How do I use this page?) in the top bar opens that screen's guide (User guides and help channels).
Help articles: help.teamso.com
