This article explains how to assign a scenario or a training track to employees on AI Simulation > Assignments and how to follow completion. Admins assign to anyone; managers assign only to the employees who report directly to them and see only their assignments.

Before you start

Making a new assignment

  1. In the left menu go to AI Simulation > Assignments and click New assignment.

  2. The window has three steps: Content, Who and Conditions; Next checks the fields of each step. In Content pick the Scenario or Training track card and find the content in the list (only published ones are listed).

  3. In Who pick employees in the People field. Managers only see the employees who report directly to them.

  4. Admins can also choose an Audience: Whole company, Branch, Department or Position. Employees who join the audience later are added to the assignment until the due date; an employee who becomes inactive has the assignment cancelled.

  5. If an audience is chosen, admins can turn on Assign new hires automatically. Then every employee in the audience gets it once the number of days in Days after the start date (0-90) has passed since their start date (the start date on the employee card): people who started longer ago get it at once, new hires are added on the morning their wait is over. Automatic assignment reaches the same person once. With automatic assignment the due date is N days after assigning.

  6. The top of Conditions summarises the content and people you picked; Edit takes you back to the first step. Set the due date: On a date (the Date field below) or N days after assigning (1-90 days).

  7. If Pass score is left empty, the scenario's or the company's pass score applies. Maximum attempts 0 means unlimited (at most 20).

  8. Allowed mode: Written, Voice or Both. In a voice assignment an employee who does not want a voice conversation can complete it in writing; the list shows them with the Written alternative label.

  9. Difficulty can be fixed or Employee chooses. With Exam mode on, coach tips are off.

  10. Optionally write a Note (at most 500 characters; the employee sees it) and click Assign. The assignment window opens.

The employee gets a notification; the assignment appears under Assigned to you on the Practice page and among the tasks on their home page. Notifications also go out 3 days and 1 day before the due date and once it has passed.

Following assignments

  1. The Assignments list has Active, Completed and Cancelled tabs. Narrow it with the search box and sorting.

  2. Each row shows the content, a Who summary, the due date (orange when it has passed), a coloured progress bar (passed/total) and Assigned by. Use the Content chip to show scenario or training track assignments. Click a row.

  3. The assignment window opens (no new page). At the top are the Progress card (people who passed, are in progress, failed, are overdue or have not started, and the percentage) and the Conditions card. Below are the people: employee, status (Not started, In progress, Passed, Failed, Overdue), best score and number of attempts. Filter with the search box and the Status chip.

  4. Clicking a person opens the result of their last attempt in a window.

  5. Download the list of people with Excel. Old /dashboard/simulation/assignments/<id> links (notifications, emails) lead to the list and open the window.

Editing an assignment

  1. In the window of an active assignment click Edit.

  2. Change the Due date. Open people get the new due date and fresh reminders; overdue people are reopened. If the assignment used "N days after assigning", picking a date sets the same due date for everyone.

  3. Add employees with Add people (managers only add their direct reports) and change the Note if needed.

  4. Click Save. Pass score, number of attempts, mode and difficulty cannot change once the assignment has started; create a new assignment for different rules.

When an employee reaches the pass score their row becomes Passed; later attempts only update the best score. If the maximum attempts run out before a pass, the row becomes Failed.

Reminding and removing people

  1. Tick people in the assignment window; a selection bar opens at the bottom.

  2. Remind sends the selected people a notification. It says how many days are left until the due date; on the last day it says the assignment is due today, and to someone past the due date it says the assignment is overdue. The same person gets at most one reminder a day; people already reminded today are skipped.

  3. Remove from assignment cancels the open assignment of the selected people. Their attempts are not deleted.

  4. To stop the whole assignment open the More actions menu (three dots) at the bottom of the window, choose Cancel assignment and confirm. The assignment is cancelled for everyone who has not completed it; attempts and scores stay.
