Training tracks and certificates

Explains grouping several simulations into an ordered training track, steps and pass conditions, publishing and versions, the employee's track card, the certificate, finding a certificate and revoking it.

This article explains how to group several scenarios into an ordered programme in the Training tracks section of AI Simulation > Scenarios (for example "Call centre agent, first week") and the certificate an employee gets for finishing it. Admins manage training tracks; an employee sees an assigned track on the Practice page.

Before you start

Creating a training track

  1. In the left menu go to AI Simulation > Scenarios, switch to the Training tracks section at the top and click New training track. The edit window opens; the track is not created until you click Save.

  2. Enter a Name (3-120 characters) and optionally a Description (at most 500 characters).

  3. Choose the Language. Only published scenarios in this language can be chosen as steps.

  4. Certificate validity: No expiry, 6 months, 12 months or 24 months. With a validity period, Reassign when it expires assigns the track again to an employee whose certificate expires.

  5. Under Steps use Add step to add 2 to 12 steps. Each step has a Scenario, Difficulty, Mode, Pass score (the company default when empty) and Passes required (how many passes in a row complete the step, 1-3).

  6. Sort the steps by dragging them or with the arrows; remove a step with the bin icon.

  7. Save the draft with Save or publish it with Save and publish. If you close the window with unsaved changes, you are asked whether to save them.

    Steps

Click a track in the list to open the track window: number of steps, People assigned (people in active and completed assignments), certificate validity and the ordered steps (scenario, difficulty, mode, pass score). At the bottom are Edit, Publish for drafts, Assign for published tracks (the assignment window opens with the track selected, see Assigning and tracking simulations) and Archive under More actions. Old /dashboard/simulation/tracks addresses lead to this section.

If you change the steps of a published track and publish again, a new version opens; employees already on the track stay on the version they started. Remove a track you no longer use from the list with Archive; archiving asks for confirmation and cannot be undone, running assignments and issued certificates are not affected.

The employee's side

  1. An assigned track appears as a card under Assigned to you on AI Simulation > Practice. The card shows the progress and the steps.

  2. Steps open in order: a Locked step cannot be started and becomes Open when the previous step is done. Start the open step from the card.

  3. A step is Done when it has been passed the Passes required number of times in a row.

  4. When every step is done the employee gets a certificate and a notification. The certificate is kept under My history > My certificates and downloaded with Download PDF. The PDF shows the employee's name, the track name, the completion and validity dates, the average score and an 8-character verification code.

The employee is notified 30 days before the certificate expires; when it expires the certificate becomes Expired.

Finding and revoking a certificate

  1. While in the Training tracks section, click Find certificate in the page header.

  2. Type the code from the certificate in Verification code and click Search. Leave it empty to list the latest certificates.

  3. To withdraw a valid certificate click Revoke, write a Reason for revoking (10-500 characters) and click Revoke again. The certificate becomes Revoked. From then on the downloaded PDF says Revoked in red under the heading and across the page, and shows the revocation date instead of the validity date.

To protect personal data there is no public verification page for certificates; an admin verifies them in this window.

Common problems

Symptom: The scenario I want is not in the step's list.
Cause: The scenario is not published or is in a different language from the track.
Fix: Publish the scenario or change the track's Language.

Symptom: Publish gives an error.
Cause: The track has fewer than 2 steps or a step has no scenario.
Fix: Complete the marked fields.
